About The Position

Reporting to the CEO, the individual serves as a high-level liaison with the Academy Board of Governors and Academy Foundation Board. In this role, you will provide administrative and strategic board-related support to the CEO, Senior Leadership Team, Board of Governors, and Academy Foundation Board of Trustees, communicating effectively with board members, their assistants, and staff across the Academy and ensuring board affairs are handled strategically, discreetly, and thoughtfully.

Requirements

Bachelor’s degree or equivalent work experience
8+ years of experience working in an executive-level office
4+ years of non-profit board administration experience, preferably for a membership organization
Advanced skills in CRM, Govenda, and the Microsoft Office suite preferred
Ability to handle multiple priorities with a high level of maturity and professionalism and pivot as needed
Knowledge of nonprofit governance practices, board and committee administration, bylaws, governance policies, elections, and recordkeeping requirements
Excellent project planning skills with the ability to establish goals, outcomes, timelines, and supporting plans to attain them
Demonstrated sound judgment and discretion when handling confidential and sensitive matters involving board members, donors, senior leadership, and other key stakeholders
A collaborative mindset to work cross-functionally with multiple departments
Excellent written and verbal communication skills with the ability to independently handle written communication and respond quickly to numerous questions and concerns
Experience developing executive-level correspondence, board communications, presentations, and briefing materials on behalf of senior leadership.
Ability to identify meeting participants, record meeting minutes, and interact professionally with board members, consultants, and staff
Ability to serve as a team player within the executive office

Responsibilities

Oversee and proactively manage scheduling, training, planning, logistics, reporting, talking points, correspondence, follow-up, record management, and related activities for all meetings, orientations, retreats, and events of the Academy Board of Governors, Academy Foundation Board of Trustees, and their committees and subcommittees, in partnership with the CEO and in coordination with board members and staff
Set the annual board and committee meeting schedule and track all board-related activities
Supervise administrative staff who also support board activities and the executive office, and enforce committee administrator compliance with board administration protocols, making changes as needed
Manage and execute communication efforts to keep board and committee members engaged and informed
Prepare and review board-related communications on behalf of the CEO with applicable teams
Implement and execute positive and effective communication strategies with staff and board members
Act as a facilitator to streamline efficiency and communication between departments tied to board-related initiatives
Prepare agendas, create presentations and documents, post documents, attend meetings, produce minutes, identify action items, and report updates to relevant staff for board meetings and specific committee meetings
Maintain historic records of all board and committee meeting proceedings, documents, and files
Create, maintain, and refine board systems and documents including: bylaws, minutes books, board portal, CRM, meeting checklist, meeting Airtable, annual meeting plan, governor terms list, governor contact list, board resource guide, necessary correspondence, and more
Organize governor-related special events and meetings
Oversee the executive office and board budget
Facilitate governor engagement and participation at marquee events
In partnership with other departments, facilitate governance activities dictated by the bylaws, including governor and board officer elections
Draft correspondence for CEO, as needed
Keep the CEO abreast of significant board-related matters
Engage in positive and effective communication with staff, board members and their assistants, partners, and vendors
Answer incoming calls and emails, relay messages, answer questions, clarify information, respond to requests, resolve problems, and refer to the appropriate staff
Conduct research for various board-related initiatives or projects and prepare summaries, proposals and/or reports of findings, as required
Provide a high level of confidentiality for sensitive information and materials
Keep a flexible schedule that involves some early morning, evening, and weekend hours
Oversee governor travel
Other projects as assigned
