About The Position

The Baylor University Institute for Oral History (BUIOH) is seeking students with technical skills to support its expanding online presence and collection of nearly 7,000 oral history interviews. This role involves processing tape digitization, incorporating audio files with transcripts on the Baylor Digital Libraries content management system (Quartex), and creating online curated content portals using the Oral History Metadata Synchronizer (OHMS). This position reports to the Collection Manager.

Requirements

  • Minimum of 10 hours per week between 8am-5pm
  • Ability to prepare raw WAV files for preservation through concatenation into a preservation master
  • Ability to create access MP3s for transcription and eventual upload to our online database (Quartex)
  • Ability to enter biographical and interview data into interview process tracking database (FileMaker Pro)
  • Ability to create physical file folders and scan deed of gift contracts
  • Ability to prepare analog media for delivery to Ray I. Riley Digitization Center/return digitized materials to BUIOH
  • Ability to update FileMaker Pro database with digitization progress
  • Ability to label and restock analog media after digitization
  • Ability to create metadata profiles for new interviews
  • Ability to add access MP3 files to existing objects containing transcripts online
  • Ability to update metadata of existing object/create metadata for audio recordings
  • Ability to update FileMaker Pro with online access progress
  • Respect the confidentiality of the materials handled
  • Do not discuss the contents of any in-process transcripts with anyone outside of the faculty and staff of the Institute for Oral History
  • Do not remove transcripts or recordings in either digital or analog form from the institute offices without the express permission of a staff or faculty member
  • Arrive to work on time and submit required reports in a timely manner
  • Establish a work schedule and follow it
  • Let Mr. Sielaff (or, in his absence, Ms. Mata) know ahead of time if unable to work at a scheduled time
  • Complete and submit online payroll time sheet for approval after last work session of each two-week pay period
  • Maintain a quiet, clean, and efficient work area
  • Keep work area free of trash, food and drink, or other unnecessary personal items
  • Log out of any computers used when leaving
  • Refrain from cell phone calls, phone or Internet messaging or chatting, or personal Internet browsing during working hours
  • Step into the hallway to take personal calls
  • Keep personal conversations to a minimum during work hours
  • Speak softly to avoid disrupting the concentration of others

Responsibilities

  • Accession new interviews into the collection, including preparing WAV files for preservation, creating MP3s for transcription and upload, entering data into FileMaker Pro, and creating physical file folders and scanning deed of gift contracts.
  • Aid in BUIOH digitization project by preparing analog media for digitization, updating the FileMaker Pro database with progress, and labeling and restocking analog media.
  • Prepare transcript and audio files for upload to Quartex, including creating metadata profiles, adding MP3 files to online objects, updating metadata, and updating FileMaker Pro with online access progress.
  • Respect the confidentiality of materials, not discussing in-process transcripts with external individuals and not removing transcripts or recordings without permission.
  • Arrive to work on time, establish and follow a work schedule, provide advance notice for absences, and submit online payroll time sheets promptly.
  • Maintain a quiet, clean, and efficient work area, keeping it free of personal items, logging out of computers, refraining from personal calls and internet use during work hours, minimizing personal conversations, and speaking softly to avoid disruption.
