About The Position

Under general supervision, this role is responsible for complete knowledge and understanding of the Digital Mail Platform and business rules at the client site. The Digital Mail Coordinator will operate scanning equipment, coordinate, prepare, prioritize, process, and quality check incoming mail and documents for scanning and electronic file conversion. They will also receive, deliver, redirect, and ship physical mail, completing all projects per customer requests within established time frames. Maintenance of all scanning equipment and work-space is necessary, along with resolving minor technical problems such as paper jams or scanning output issues. Other related duties may be performed as required.

Requirements

  • 2-5 years’ experience working in a mailroom, scanning or records operation, or professional office environment.
  • Full knowledge of scanning procedures in a business environment.
  • Familiarity with a database program to store and retrieve documents.
  • Substantial acquaintance with and understanding of general Mail Classes and priority level for delivery.
  • Advanced knowledge of metering, weighting, logging and other shipping procedures.
  • Proficient computer skills preferred.
  • Excellent ability to perform routine functions of various equipment and systems (scanner, postage meter, tracking systems).
  • Excellent customer service, professional attitude and appearance are a must.
  • Ability to work overtime & meet deadlines.

Nice To Haves

  • Ability to operate scanning equipment including Ricoh, Kodak, Canon, Minolta etc.

Responsibilities

  • Coordinate, prepare, and process projects for Digital Mail document scanning, electronic conversion, indexing, and stamping.
  • Check business rules specifications for document distribution and disposition.
  • Upon completion of processing documents/electronic files, quality check production and output to the client’s Digital Mail platform.
  • Delivery or redirect shipping of physical mail exempt from opening and scanning.
  • Communicate with end users as necessary.
  • Maintain scanner quality (i.e., cleaning lens, reporting mechanical failures).
  • Maintain required levels of quality and rates of production.
  • Maintain logs for in/out boxes for scanning.
  • Record objective and bibliographic information as appears on documents.
  • Create bar codes for documents.
  • Follow document preparation procedures.
  • Prepare monthly production and volume reports to measure productivity and prepare billing charges.
  • Perform other duties as requested by Manager.
  • Process outgoing mail and packages.
  • Send, receive, and deliver faxes.
  • Document filing and disposition.
