About The Position

The Digital Collections Specialist maintains day-to-day operations and project management for library digital collections, including Digital Collections and Digital Commons. Implements preservation strategies, policies, and workflows to ensure the accessibility and integrity of digital assets. Hires, trains, and supervises student employees for digital collections projects. The Digital Collections Specialist supports the full life cycle of digital collection initiatives, reporting to the Digital Collections Librarian.

Requirements

  • Typically a Bachelor’s degree or equivalent experience.
  • Minimum of three years of full-time academic library experience.
  • Demonstrated experience in digital collections, institutional repositories, or digital preservation.
  • Demonstrated knowledge of digital preservation standards, metadata schemas, and digital asset management best practices.
  • Demonstrated competence with institutional repository platforms, such as Digital Commons, and/or digital asset management systems, such as Quartex or other digital collection platforms.
  • Familiarity with metadata standards and preservation file format specifications.
  • Familiarity with proper care and handling of special collections.
  • Knowledge of copyright, licensing, sharing, and use standards as they relate to institutional repositories.
  • Demonstrated experience hiring and supervising student employees.
  • Highly developed organizational skills.
  • Strong project management skills and experience developing workflows and writing procedures.
  • Exemplary written, oral, and presentation communication skills.
  • Excellent interpersonal skills, including customer service experience.

Nice To Haves

  • A Master’s degree in library and information science or related field is preferred.
  • Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of technology/regulation/policy changes.

Responsibilities

  • Implement digital project plans in coordination with the Digital Collections Librarian and Archives and Special Collections team.
  • Oversee the project management, preparation, materials handling, and digitization for digital projects.
  • Maintain and apply project documentation, workflow guidelines, processes and procedures of digital collections.
  • Maintain and apply proper quality control procedures for the digital collections.
  • Supervise and provide quality control for daily operations of Digital Commons and Scholars @ LMU, including content collection, uploading, metadata quality control, preservation activities, and ongoing system maintenance.
  • Liaise with university departments and support LMU students, faculty, and staff users of these platforms.
  • Supervise Digital Collections student employees supporting digital collections and the institutional repository, including hiring, scheduling, training, quality control, and feedback on overall performance.
  • Manage and coordinate ingesting digital objects and their metadata to our content management system.
  • Manage and coordinate digitizing a variety of formats including audiovisual media, artifacts, archival photographs and texts.
  • Collect analytics on digital collections for library reporting in coordination with the Digital Collections Librarian.
  • Communicate with external vendors regarding minor issues or support questions.
  • Coordinate with the rest of the Systems team to resolve advanced issues related to digital collections platforms.
  • Represent LMU within the library community, at campus meetings, and at professional organizations or associations.
  • Perform other duties as assigned or requested.
