About The Position

The Developmental Disability (DD) Staffing & Scheduling Coordinator is responsible for maintaining an adequate pool of direct care staff to meet the needs of the consumers served. This role involves scheduling all direct care staff in accordance with approved treatment plans, coordinating staff coverage during planned absences, developing staff schedules, and distributing them weekly. The position also assists with interviewing, onboarding, and new hire orientation.

Requirements

  • Must have a High School Diploma or GED.
  • Ability to use software applications to enter scheduling data into tracking system, timekeeping, use email, word processing is required.
  • Must be able to communicate clearly in writing and verbally, ability to develop positive interactions with clients, families, caregivers and staff in order to effectively care for the client, anticipate needs of others, diffuse situations, interact appropriately face to face and electronically, modify communication based on audience, motivate, engage others and interact with diverse groups.
  • Must be able to read and write, follow written and verbal directions, adapt to change / situations, problem solve, organize work, multitask, work independently , comply with regulatory standards, critical thinking, detail oriented, able to plan, train others, interpret data and effectively manage time.

  • Normal or corrected vision, ability to hear system sounds and functional speech.
  • Keyboarding, texting.

Nice To Haves

  • Associate or Bachelor's Degree is preferred.
  • Prefer 1 year scheduling experience in a healthcare environment, or 3 years scheduling experience in a high volume environment involving scheduling 50+ employees.
  • Experience working and scheduling residential WV I/DD Waiver services preferred.
  • Prior experience with Taskmaster Pro preferred.

Responsibilities

  • Develop staff schedules based upon treatment plan agreements and upload schedules to the EHR at least one week prior to scheduled assignment.
  • Coordinate staff coverage and call-outs and find replacement staff to cover unattended shifts.
  • Coordinate overtime and identify opportunities to decrease overtime spending by closely reviewing schedules, hours worked, and coverage.
  • Review schedules at least twice daily and address all schedule changes and requests in a timely manner.
  • Approve requests for PTO within 3 work days of receipt of request and in accordance with established policies regarding time off.
  • Ensure staff have current training prior to planned assignment, including mandatory funding specific training, client specific training (DD6s), crisis plan training, and medical needs training (including CPR and 1st Aid).
  • Notify the appropriate residential supervisor of employee performance issues related to attendance such as tardiness, incorrect documentation of shifts or excessive absenteeism and provide information for follow up disciplinary action if needed.
  • Participate in admissions planning committee meetings to help identify client needs and staffing fits.
  • Notify the Operations Manager of all voluntary staff resignations.
  • Meet monthly with the Director or Operations to review staffing concerns.
  • Assist with interviewing and hiring direct care staff as needed to maintain an adequate staffing pool based upon treatment plan requirements, PTO coverage, and staff turnover.
  • Coordinate new hire orientation and prepare all materials needed for the training.
  • Assist new employees as they navigate the onboarding process.
  • Attend Internal Review Committee meetings monthly.
  • Attend Admissions Committee meetings as needed.
  • May perform other duties as assigned.
