Our current hybrid approach requires staff to work onsite a minimum of two days each week, every Tuesday and Wednesday, Hybrid staff are also welcome to come in additional days each week or may be asked to come in on other days by their manager. DEPARTMENT OVERVIEW The Development Division is responsible for raising funds from individuals and institutions. It plays a vital role in helping to finance broadcast, video, digital, and audio programs, including celebrated dramas, investigative journalism, documentaries, children’s media, podcasts, and other local and national programming in the public media system. This is a transformative period for GBH, as it navigates profound changes in its business model, driven by the changing media landscape and evolving sources of revenue. GBH will celebrate its 75th anniversary in 2026, and has just launched a comprehensive campaign that will position us solidly for the next chapter of our storied history as a local and national leader in public media. The Operations team within the division plays a critical role in streamlining processes, leveraging technology, and providing essential support services that enable the department to effectively cultivate, solicit, and steward individuals and foundations supporting GBH. JOB OVERVIEW Reporting to the Director of Development Operations, the Operations Assistant will support the day-to-day operations of the annual fund programs at both GBH and CAI (CAI is GBH’s sister NPR station on the cape and islands). This role is essential to the administration of key donor groups, including the GBH Beacon Circle (annual gifts of $2,400–$100,000), the GBH Champions Circle ($900–$2,399), and CAI’s Founder’s Circle ($1,000+). Primary responsibilities include cash management, gift processing and revenue allocation, report execution, support of email communications, and other data entry and hygiene projects as assigned.

Requirements

  • Knowledge of CRMs and databases is highly preferred
  • Proficient in Microsoft Office products (Excel, Word, PowerPoint)
  • Strong technical aptitude and troubleshooting skills; process oriented supporting continuous process improvements
  • Excellent written, verbal, and interdepartmental communication skills
  • Ability to balance repetitive data-entry tasks and other project oriented requests
  • Strong attention to detail

Nice To Haves

  • Knowledge of GBH and non-profit media a plus.

Responsibilities

  • Enter high volumes of daily donations (checks, credit cards, wire transfers) into CRM, ROI Solutions’ RevCRM.
  • Code gifts to allocate revenue appropriately and communicate information to Finance colleagues for accurate reconciliation efforts.
  • Create and update donor profiles to ensure up-to-date contact information and communication preferences.
  • Assist the Operations Manager for Annual Funds in executing daily and weekly gift, revenue, and activity reports for each annual fund program.
  • Provide support in e-communications tool, Iterable, to send mass emails to member groups including newsletters, e-solicitations, and surveys.
  • Assist in the creation of "How-To" guides for gift entry to ensure consistency across the Operations team.
  • Help troubleshoot basic issues within the donor database and Iterable.
