About The Position

Mass Audubon’s Philanthropy Division is seeking a Development Events Manager. A key leader on the events and stewardship team, this position is responsible for helping conceive and implement the planning, production, execution, and attendee experience of both virtual and in-person statewide and regional development events to engage members, donors, prospects, and other guests, aligning with the overall philanthropic strategy and organizational priorities. The Development Events Manager helps set the strategy for the overall events program and develops and implements standardized event systems and toolkits for the centralized team and development colleagues at sanctuaries across Massachusetts.

Requirements

  • Bachelor’s degree required
  • A minimum of five years of experience planning both in-person and virtual/digital events and programs
  • Proficiency and aptitude with technology, from Microsoft Suite to CRMs to digital platforms enabling virtual events and experiences; comfortable extracting, wrangling and maintaining data
  • Superior guest relations skills and ability to always maintain a high degree of confidentiality and grace under pressure
  • Collaborative mindset and spirit
  • Strong ability to be self-directed and work in a fast-paced environment with multiple demands
  • Impeccable attention to detail and accuracy, with excellent organizational and communication skills
  • Demonstrable track record of success in events management
  • Strong donor/customer service experience
  • Excellent communication and project management skills
  • Capable of juggling multiple projects while maintaining a healthy sense of both humor and determination
  • Employees must successfully complete a CORI and SORI Background Check and a Motor Vehicle Record (if applicable) is required.

Responsibilities

  • Help develop a suite of standardized event systems, templates, and toolkits for implementation of in-person and virtual development-related events across Mass Audubon
  • Conceive, in partnership with colleagues, creative, engaging, and successful events to cultivate and steward high-level donors and prospects
  • Execute well run events: create detailed event timelines, coordinate all event logistics from guest lists to project schedules (pertaining to venues, caterers, photographers, transportation, etc.), to post attendee event follow-up
  • Hire, negotiate with, and direct appropriate vendors (i.e., caterers, printers, audio/visual and lighting, florists, photographers, etc.)
  • Develop and maintain accurate budgets, track, and monitor contracts for vendors, and initiate timely payments
  • Utilize the CRM to pull lists, track, report, maintain, and update data related to event attendees, helping improve systems to align with best practices and create efficiency while maintaining data integrity
  • Help develop standards and templates for marketing and communications materials for statewide implementation
  • Collaborate with marketing and communications on design and copy for electronic and print collateral (e.g., save the dates, invitations, menu cards, programs) and create professional event landing sites, registration pages, attendee communications, and surveys
  • Create and disseminate standardized event briefings, registration and attendance reporting, production schedules, and other relevant documents to key stakeholders and colleagues
  • Communicate event details with guests via phone and e-mail prior to and after the event serving as point of contact
  • Prepare event related materials from registration lists, nametags, place cards, seating assignments, meeting materials and other collateral that organize guests’ attendance at an event
  • Execute virtual events via Microsoft Teams, Zoom, and other platforms as needed
  • Provide onsite event support from setup to registration management, guest services and vendor management to event breakdown
  • Deliver exceptional customer service and hospitality to event guests
  • Special projects as assigned
