Medical Center Development (MCD), in collaboration with the Lucile Packard Foundation for Children's Health, supports Stanford Medicine's fundraising efforts. MCD's team of development professionals works to build upon donor support and align with Stanford University's strategic vision, particularly its new institutional fundraising initiative. Every member of the MCD team plays a crucial role in inspiring donors and ensuring a positive philanthropic experience. This role, reporting to the Assistant Director of Administrative Services on the Infrastructure team at MCD, supports the Major Gifts fundraising programs for fundraisers in Biomedical Discovery and the Department of Psychiatry and Behavioral Sciences. These fundraisers focus on specific departments and divisions within the School of Medicine. The Development Coordinator will interact with frontline fundraising staff, development officers, internal partners, donors, volunteers, and university staff to cultivate and maintain relationships. The role operates on a hybrid schedule, with the primary work location in Redwood City, CA, and the option to telecommute two to three days per week. Occasional event staffing, including evenings and weekends, may be required.

Requirements

  • Bachelor's degree and one-year relevant experience or a combination of education and relevant experience.
  • Ability to work efficiently, multitask, prioritize quickly, meet deadlines, and achieve goals with exceptional attention to detail.
  • Excellent interpersonal and communication skills, with the ability to interact with a wide range of people.
  • A growth-based mindset, openness to feedback, and a desire for leadership and professional development opportunities.
  • Demonstrated ability with Microsoft Office suite (Outlook, Word, Excel) or the ability to quickly learn.
  • Knowledge of database systems (e.g., Microsoft Access, Raiser’s Edge, Salesforce) or the ability to quickly grasp new computer databases.

Responsibilities

  • Planning and scheduling complex calendars and resolving conflicts with minimal supervision.
  • Preparing agendas, taking meeting minutes, booking conference rooms, providing AV setup, and tracking post-meeting follow-up.
  • Verifying and processing financial reimbursements for the team.
  • Gathering, reviewing, and updating information on prospects, donors, and gifts; requesting assignments and generating reports using the university's external relations database.
  • Tracking, writing, and mailing donor acknowledgement letters from faculty members.
  • Supporting gift officers in the planning, implementation, and coordination of events, including reviewing/tracking attendee lists, coordinating planning meetings, taking notes, scheduling meetings with faculty, arranging catering, making restaurant reservations, and providing on-site support like equipment setup and table arrangements.
  • Coordinating travel for faculty and gift officers for donor visits and/or conference attendance.
  • Performing other duties and projects as assigned.
