About The Position

The Development Coordinator is a key member of the University of Hawai‘i Foundation (UH Foundation) Development Team, primarily focused on providing administrative and project support for the University of Hawai‘i at Mānoa Shidler College of Business.

Requirements

  • Bachelor’s degree required.
  • Demonstrated ability to exercise discretion and maintain confidentiality when handling sensitive and confidential information.
  • Must possess a valid driver’s license or have a reliable and acceptable alternative means of transportation to perform the duties of the position.
  • Ability to sit at a desk and use a computer for extended periods of time.
  • Occasional standing, walking, bending, reaching, and lifting of light office items up to 25 lbs.
  • Ability to operate general office equipment such as computer, printer, photocopier, scanner, phone system, etc.
  • Hand-eye coordination and manual dexterity to use office equipment and handle paperwork.
  • Visual acuity to read printed and electronic documents and computer screens.
  • Ability to communicate verbally and in writing so others will understand.
  • Hearing and speaking abilities for in-person, phone, and video conversations.

Nice To Haves

  • A minimum of two years of progressive experience in non-profit organizations, especially in alumni, development, education, or membership settings, is preferred.
  • Experience and demonstrated success in donor relations and developing recommendations for stewardship strategy and implementation in the organization’s program is preferred.

Responsibilities

  • Organize and facilitate meetings, schedule and coordinate dates, times, venues, attendance, agenda, and facilities, compile briefings or takes notes when necessary and provide administrative support and follow-up on matters arising from internal, external and donor meetings.
  • Assist with prospective donor portfolios for the Shidler Development Team.
  • Enter information into the fundraising system, which includes but is not limited to proposals, contact reports, strategy and next steps.
  • Coordinate travel schedules, make travel arrangements, and prepare travel briefings for UH Foundation and unit leadership.
  • Prepare materials for presentations and briefings on top level prospects and donors for UH Foundation and unit leadership.
  • Assist with opening new accounts, processing account and transfer paperwork, pulling reports and assist with bankcard and reimbursement processes.
  • Research, draft, and edit written communications that may include briefing materials for meetings and events, proposals, reports, and correspondence. Gather, assemble and refine material and data required for correspondence, memorandums, reports, or other material.
  • Establish and maintain effective working relationships with a broad constituency inside and outside the Foundation and University of Hawai‘i System. Represent the Foundation in a positive manner internally, to the University, and to the community.
  • Communicate in writing and/or verbally with high profile internal and external contingents, including University and UH Foundation leadership, donors, and supporters.
  • Relay and resolve routine telephone inquiries, establish and maintain records.
  • Assist in implementing and improving internal processes, as well as promote and strengthen inter-department UHF/UH relationships.
  • Regularly deal with diverse matters requiring a broad knowledge of the Foundation’s organizational operations and policies necessary to ensure appropriate decision-making protocols are followed.
  • With other administrative personnel, provide back-up administrative and telephone support for the seamless functioning of UH Foundation offices.
  • Regularly work with information of a sensitive, highly confidential and strategic nature.
  • Perform other duties in support of UHF’s mission as assigned.
  • Assist with administrative support and facilitate unit fundraising, engagement and stewardship events, in coordination with the Shidler Development Team and unit. This includes, but is not limited to, data requests to generate guest lists, drafting event briefings and event worksheets, securing venue and vendors, assist with design and preparation of invitations and manage RSVPs.
  • Provide event support at events, as necessary.
  • Supervises Shidler Student Assistant(s).
