About The Position

The Development Associate will offer administrative support to the Development Department and its various fundraising and marketing activities. The role involves processing donations, completing administrative tasks, assisting with donor visits and events, managing volunteers, handling inventory and shipping, producing correspondence, directing general inquiries, and providing support during busy fundraising seasons. The position also requires ensuring the security of confidential information, periodic driving for ministry purposes, providing backup support to other development roles, participating in donor stewardship, and assisting with database cleanup projects. Job duties, tasks, work hours, and work requirements are subject to change.

Requirements

  • 1-4+ years of administrative or operations experience (development, communications, non-profit experience a plus).
  • 1-4+ years’ experience working with a development database and Microsoft Office.
  • Innovative self-starter, creative thinker, demonstrated initiative, able to work independently, confident decision-maker with a positive attitude.
  • Strong interpersonal, communication, and customer service skills.
  • Team player and ability to work collaboratively with staff at all levels.
  • Ability to prioritize multiple tasks, stay organized, and follow through independently.
  • Maintains flexibility to adapt to fluctuating work capacity to meet the needs of the Development Team.
  • Must have sound judgment in maintaining confidentiality of donor information.
  • Ability to exercise good judgment and represent St. Matthew’s House in a highly professional manner.

Responsibilities

  • Processes incoming mail donations (checks, cash and match gift forms, etc).
  • Completes administrative tasks such as scanning, sorting, filing, copying, answering phones, email correspondence, equipment maintenance and repair, and other office support duties.
  • Work with the development team to ensure donor visits are well planned and executed.
  • Assist development team as needed with the creation and distribution of regular deposit reports.
  • Provides support to the Development an events and material ordering.
  • Assists with management of administrative volunteers.
  • Responsible for inventory and shipping of materials that support the Development team and/or staff.
  • Produces correspondence: Responsible for compiling, securing approval(s)/signature(s), scanning and documenting final copies, and ensuring timely distribution by mail or email.
  • Directs general information emails to the appropriate person or department.
  • Provide administrative support throughout busy fundraising seasons, helping to coordinate logistical elements which may include, long periods of standing or sitting, assisting with event set up and tear down, registration check in, engaging with guests, and staff, recording, and processing payments, and enhancing the organization’s image consistent with policy, mission, and core values.
  • Ensure the security and sensitive handling of confidential donor and/or financial information.
  • Periodically drive to post office, bank, work site locations, and other places of business for specific ministry purpose.
  • Provides back up support to the Development Coordinator and Development Associate I during periods of peak volume or absences, check coding, deposit check scan/upload, gift receipting or acknowledgements.
  • Participate in the donor stewardship program, using strategies that strengthen long-term relationship with donors.
  • Assist contribution team with cleanup database projects.
