About The Position

Desk Assistants are responsible for customer service and administrative functions for students and prospective students at Brottier Hall, St. Martin Hall, and McGinley Hall, which are managed by Capstone On-Campus Management (COCM)/Lumina Communities at Duquesne University. The position operates under the direct supervision of the Operations Coordinator and in collaboration with the Assistant Director of Operations.

Requirements

  • Obtain high school diploma or general education degree (GED).
  • Current student at a post-secondary institution at Duquesne University or other post-secondary institution.
  • Ability to read and comprehend simple instructions, short correspondence, and write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to apply common sense understanding to carry out instructions.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge and ability to operate Microsoft Word, Excel, and Outlook.
  • Ability to operate basic office equipment including photocopier, fax, and telephone.
  • Basic typing and filing skills.

  • Preference will be given to current Duquesne University students and/or residents of Brottier, St. Martin, and McGinley Halls.

Responsibilities

  • Monitor all access to the front entryway of the building, including greeting residents/visitors, reporting safety/security issues, and administering sign-in/out procedures for guests and equipment.
  • Provide customer service through personal and electronic interaction (e.g., tours, emails, instant messaging, phone calls).
  • Act as a referral agent for students, being knowledgeable about campus resources.
  • Be knowledgeable about the work order system and provide guidance to residents.
  • Assist residents with lockouts.
  • Sort, forward, and record mail and packages for residents and staff.
  • Assist with mail key/box audits.
  • Develop flyers, social media content, spreadsheets, and documents as determined by Office staff.
  • Assist with general organization of desk areas, study lounge, kitchenette, and patios.
  • Review emergency protocols for the building on a regular basis.
  • Attend all required meetings and training.
  • Other duties as assigned.
