About The Position

As Deputy Project Manager, you will play a critical role in the administration, planning, coordination, and execution of projects, while acting as the second-in-command to the Project Manager/Director. You will be responsible for ensuring projects are delivered in accordance with contractual requirements, budgets, and schedules, while maintaining strong coordination between internal teams and external stakeholders. You will combine hands-on coordination and administrative oversight with project leadership responsibilities, including performance tracking, financial monitoring, and proactive issue resolution.

Requirements

  • Bachelor’s degree in engineering, project management, or a related field
  • Minimum of 4 years of experience in project coordination or project management, preferably in a technical or industrial environment
  • Experience in project controls (schedule, cost, risk management)
  • Proficiency with project documentation platforms such as SharePoint or Google Drive
  • Strong knowledge of Microsoft Office Suite (Teams, Outlook, Word, PowerPoint, Excel)
  • Experience with project planning tools (e.g., MS Project)
  • Working proficiency in both French and English
  • Strong ability to manage priorities, deadlines, and multiple stakeholders
  • Ability to identify issues and implement practical solutions proactively
  • Leadership capability with the ability to influence cross-functional teams without direct authority
  • Strong analytical and organizational skills
  • Ability to work effectively under pressure in a fast-paced environment

Nice To Haves

  • Experience in railway, manufacturing, MRO, or heavy industry is a strong asset
  • OIQ membership is an asset
  • Project Management certifications (e.g., PMP) are an asset

Responsibilities

  • Support the Project Manager/Director in developing project plans, schedules, budgets, and execution strategies, ensuring alignment with contractual and operational requirements
  • Monitor project progress against milestones, budgets, and deliverables, and ensure adherence to project timelines
  • Coordinate and facilitate communication and collaboration between engineering, procurement, finance, operations, and external stakeholders
  • Maintain and oversee project documentation systems, including meeting minutes, progress reports, risk registers, and contract documentation
  • Prepare and present project status reports, including schedule performance, financial updates, risks, and key issues to stakeholders
  • Ensure project deliverables meet organizational standards, contractual requirements, and quality expectations, performing regular validations and follow-ups
  • Support and monitor budget control and financial performance, including invoicing, cost tracking, forecasting, and follow-up on payments
  • Assist in resource coordination in a matrix environment to ensure project needs are met efficiently
  • Identify risks, delays, and issues proactively, implement mitigation and recovery plans, and escalate critical items as required
  • Organize, prepare, and lead project meetings, including agenda preparation, documentation, and follow-up on action items
  • Contribute to contract administration activities, including review of technical and commercial documentation
  • Manage administrative aspects of the project, including scheduling, document control, reporting, and coordination of deliverables
  • Prepare, review, and translate documents and reports as required
  • Draft and distribute communications, correspondence, reports, and presentations for internal and external stakeholders
  • Support preparation of client deliverables and internal presentations
  • Perform other related duties as required to support successful project delivery
