About The Position

Kenosha County Circuit Court is seeking a highly motivated, detail-oriented, and customer service-focused individual to join the Circuit Court staff as a Deputy Court Clerk Senior. The selected candidate will be part of a team committed to continuous learning and supporting the fast-paced court operations of Kenosha County. The Circuit Court will provide formal and informal training, including software training, internal training on procedures, and mentoring. The selected candidate will enjoy a desirable work/life balance with weekends and 12 County-recognized holidays off, along with a work schedule of Monday through Friday between 8:00 AM and 5:00 PM. This position performs technical work and provides clerical support for court operations, working under the direction of the Clerk of Circuit Court and assigned supervisor. Deputy Court Clerks must provide outstanding customer service during stressful situations, manage workload and meet statutory timelines, and have impeccable attention to detail. They must be comfortable interacting with judges, attorneys, and executive-level management daily. This position is assigned in all areas of the Clerk of Circuit Court office, including juvenile, guardianships, mental commitments, probate, and financial cases. Ancillary case duties may involve family, civil, and criminal records.

Requirements

  • Associate Degree in legal studies, accounting, or related field
  • Two years of work experience in a legal or court environment or financial setting
  • Or any combination of education, training, and experience which provides the knowledge, skills, and abilities necessary to perform the job
  • Knowledge of legal terminology, court procedures, and documents and information needed for court proceedings
  • Knowledge of math calculations, including interest calculations and routine balancing
  • Skill in Microsoft Word, Outlook, and Excel
  • Ability to perform a variety of duties, often changing from one task to another
  • Ability to handle multiple procedural processes simultaneously
  • Ability to provide quality customer service and remain professional and courteous at all times to internal and external court users
  • Ability to work independently to follow schedules and meet deadlines
  • Communication skills both verbally and in writing with the ability to follow oral and written instructions
  • Ability to maintain confidential information
  • Ability to operate a variety of office equipment including a computer, calculator, scanner, telephone and fax machine
  • Ability to work respectfully in a diverse and inclusive environment
  • Ability to become and maintain a Notary Public in Wisconsin
  • Ability to work overtime as required

Responsibilities

  • Timely and accurate filing, docketing, and scanning of documents to juvenile, guardianship, mental commitments, probate, criminal, civil, traffic, small claims, family, and paternity matters.
  • Processing payments and issuing receipts.
  • Docketing and release of civil judgments.
  • Appointing Guardians ad Litem in accordance with procedures.
  • Providing excellent customer service.
  • Managing and correctly recording courtroom proceedings and minute entries.
  • Correctly completing accounting and data entry duties, including docketing and release of civil judgments.
  • Case management.
  • Learning and applying legal terminology.
  • Preparing documents.
  • Following procedures in addition to general clerical competencies.
  • Maintaining electronic court files.
  • Preparing warrants, subpoenas, and calendars.
  • Ensuring all court documents are prepared accurately and distributed on a timely basis.
  • Providing in-court deputy clerk duties as needed.
  • Adhering to Model Court Recordkeeping procedures in maintenance of court files, including docketing, scanning, and integrity checking of court documents.
  • Processing payments, issuing receipts, calculating interest, and initiating and reviewing litigant payment plans.
  • Docketing and releasing civil judgments as necessary.
  • Reviewing caseload for other action items.
  • Entry of Warrants into required court databases.
  • Reviewing financial reports for accuracy for reporting to collection agencies and acting as liaison.
  • Reviewing case files for financial information regarding billing and payment of certain court costs and fees.
  • Providing support to other deputy clerks in the unit, including phone and counter reception.
  • Serving as liaison to other departments, law enforcement, litigants, service providers, and other involved parties.
  • Preparing correspondence, warrants, bonds, notices, and similar documents.
  • Developing and maintaining court calendars.
  • Preparing and assembling legal documents, articles, exhibits, reports, statements, evidence, and other materials.
  • Preparing minutes.
  • Explaining court procedures, processes, rules, and requirements without providing legal advice.
  • Scheduling hearings and other meetings.
  • Performing other duties as assigned.
