About The Position

Under general supervision of the Municipal Court Administrator or designee, the Deputy Court Clerk III assists with the coordination of the administrative activities of the municipal court. This position provides increased responsibility of duties such as maintaining all necessary databases and paperwork for the complaints handled by the City of Frisco Municipal Courts, collecting court costs, scheduling court dates, and controlling court dockets. This position description is intended to provide a representative summary of the major duties and responsibilities performed by incumbent(s) in this position. Incumbent(s) may not be required to perform all duties in this description and incumbent(s) may be required to perform position-related tasks other than those specifically listed in this description.

Requirements

  • Knowledge of customer service, cashiering, and general office practices, and procedures.
  • Knowledge of case records and file creation and maintenance techniques.
  • Knowledge of computers and related equipment, hardware and software for data entry, case information retrieval and research.
  • Knowledge of posting, reconciling, and handling bank deposits.
  • Intermediate knowledge of Municipal Court operations and procedures.
  • Knowledge of City policies and procedures.
  • Skill in effective oral and written communications.
  • Skill in organizing, prioritizing, and performing multiple clerical tasks.
  • Skill in following municipal court practices and procedures.
  • Skill in resolving customer complaints and concerns.
  • Ability to work independently with little direct supervision.
  • Ability to work well with others.
  • Associates Degree in Criminal Justice or related field, and five (5) years general office, clerical or customer service experience with three (3) years of which is working in a court environment; or equivalent combination of education and experience that support the ability to perform the essential functions and/or skills of the job.
  • Must possess and maintain Level I Texas Municipal Court Clerk Certificate.
  • Must pass a pre-employment drug screen, criminal background check and MVR check.
  • Must possess a valid State of Texas Driver’s License.

Nice To Haves

  • Level II Texas Municipal Court Clerk Certification preferred or combination of experience and certification.
  • The ability to communicate in Spanish and English preferred.

Responsibilities

  • Performs customer service functions which include, but are not limited to, answering telephone calls, greeting visitors, and assisting individuals at the counter.
  • Provides information and assistance related to court processes, activities, procedures, documentation, fees, case status/disposition, or other issues.
  • Responds to questions/complaints, research problems, and initiates problem resolution.
  • Assists in resolving issues involving angry/irate customers.
  • Communicates procedures regarding warrant status cases and assists customers with case resolution.
  • Assists the Court Coordinator(s) and Court Administrator with the development, implementation, and adherence to court policies, procedures, and changes in local and state laws and ordinances.
  • Ensures compliance with all applicable laws, rules, regulations, standards, policies, and procedures.
  • Initiates any actions necessary to correct deviations or violations.
  • Receives money for payment of court fines and fees, processes payments, records transactions, issues receipts, posts defendant bonds and forwards revenue as appropriate.
  • Monitors and maintains control of court dockets to prevent overload, issues jury summons, monitors jurors, notifies defendants and attorneys of case statuses and issues subpoenas and witness notifications.
  • Checks in and lifts warrants including those on which bond monies are received and processes time served that has been granted by the Judge and schedules dockets as needed.
  • Verifies and presents Community Service Hours to the Judge for approval.
  • Upon approval by the Judge, processes Community Service non-cash transactions.
  • Monitors and maintains court records.
  • Schedules court dates, preliminary hearings, or other activities.
  • Sets cases for bench or jury trial and pre-trial appearance dates.
  • Reviews delinquent cases for capias warrant preparation, capias pro fine warrant preparation or arrest warrant preparation.
  • Serves as courtroom clerk.
  • Provides judicial assistance for Judges by preparing courtroom for court sessions, coordinating translation services and mailing jury summons as required.
  • Conducts business with Judges, police officers, prosecutors, and defendants in a professional manner.
  • Monitors inventory levels of equipment and supplies.
  • Travels to attend meetings, conferences, and training.
  • Communicates with supervisor(s) on issues that impact the operation of the court.
  • Provides assistance for other employees or departments as needed.
  • Performs other related duties as assigned.
  • Regular and consistent attendance for the assigned work hours is essential.
