About The Position

The Deputy COO, People & Operations serves as the operational right hand to the Chief Operating Officer of a private family office. The role supports the COO across day-to-day priorities, acting on the COO's behalf with vendors, staff, and property matters, and independently resolving issues within the direction the COO sets. Matters that are strategic or complex, or that require Family-level decisions, go back to the COO. The position requires sound judgment, a high degree of discretion with confidential Family information, and periodic travel to Family properties.

Requirements

  • Five or more years of experience in operations, chief-of-staff, or senior executive support roles, ideally within a family office, private household, or high-net-worth environment.
  • Demonstrated experience managing vendor relationships and coordinating property or facilities matters.
  • Working knowledge of HR practices, including employee relations and performance review processes.
  • Proven track record of maintaining confidentiality, discretion, and privacy for a principal or private employer.
  • Proficiency with Google Workspace (Calendar, Drive, Sheets, Docs), Microsoft Office (Word, Excel, Outlook), Zoom, and project management or messaging tools.
  • A discreet, trustworthy individual who can act independently on the COO's behalf while knowing when to escalate.
  • Sound judgment, with the ability to set priorities and manage competing demands.
  • High accuracy, strong attention to detail, and reliable follow-through.
  • Excellent written and verbal communication skills, with a talent for distilling information concisely.
  • Ability to build productive relationships with Family members, staff, and vendors, and to address difficult issues with tact and candor.
  • Flexibility to accommodate a non-traditional schedule when needed, and a hands-on, “No job too big or too small” attitude.

Responsibilities

  • Serve as a trusted deputy to the COO, providing operational and administrative support across the family office's day-to-day priorities.
  • Travel to Family properties as needed to meet with vendors, oversee property-related matters, and represent the COO's office on the ground.
  • Coordinate and manage vendor relationships and meetings on behalf of the COO, including scheduling, follow-up, and issue resolution.
  • Serve as point of contact for all staff members and assist with personnel issues and questions.
  • Support the employee performance review process.
  • Handle sensitive and confidential information related to the Family and family office with the utmost discretion.
  • Step in to support or lead special projects and initiatives at the direction of the COO, spanning both HR and broader operational needs.
  • Manage scheduling, travel logistics, and calendar coordination for the COO as needed.
  • General IT knowledge, with the ability to support technology-related projects and help troubleshoot common hardware, software, network, and device issues for the COO and staff.
  • Other duties as assigned.
