About The Position

This position is responsible for providing administrative and clerical support to the Clerk of Council, City Council, the Boards & Commissions, and residents as needed. The Deputy Clerk of Council will be responsible for creating, disseminating and keeping records and proceedings of assigned boards and commissions and council committees. Responsibilities also include authenticating all records, documents and instruments of the city as required by law.

Requirements

  • Administrative Assistant or secretarial experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, advanced skill in Word and Excel.
  • Two to five years of experience performing basic, general clerical duties using modern computer software in an environment characterized by a moderate amount of interruption and multiple simultaneous tasks.

Nice To Haves

  • CMC- Certified Municipal Clerk desired or must be obtained after hire.

Responsibilities

  • Assists the Council Clerk with the coordination of materials for Council and Committee meetings, workshops and special meetings.
  • Attend assigned committee meetings and council meetings.
  • Attend all board and commission meetings.
  • Transcribes all audios of meetings into verbatim minutes.
  • Transfers all written and audio meeting minutes to website.
  • Update website and city calendar for all assigned committee meetings, and boards and commissions.
  • Perform clerical duties such as typing, answering phones, data entry, and greeting in-person visitors, and secretarial duties such as scheduling meetings, preparing memos, letters.
  • All other duties as required by City Council and the Clerk of Council.
