About The Position

This position involves handling various administrative and clerical duties within the Municipal Courts, focusing on managing cases, processing payments, maintaining records, and interacting with defendants, law enforcement, and legal professionals. The role requires attention to detail, adherence to legal procedures, and effective communication skills to manage a high volume of work and ensure compliance with court orders and state laws.

Requirements

  • High school diploma or general education degree (GED).
  • Basic computer skills and use of Windows-based applications.
  • Typing skills of 45 wpm.
  • Good 'people skills'.
  • Must have and maintain, without interruption, all necessary licenses, certifications, clearances, and/or job requirements.
  • Works the assigned schedule and complies with the City's timekeeping and attendance policy.

Nice To Haves

  • Ability to read, write and speak Spanish is an asset.

Responsibilities

  • Handle Defensive Driving Applications, qualifying applicants and determining compliance.
  • Manage Deferred Disposition cases, preparing orders and managing files during probation.
  • Process payments via cash, check, and credit card, ensuring cases are paid and satisfied.
  • Ensure compliance with state law for collecting additional costs on cases requiring extended payment.
  • Reset cases for future arraignment or trial dockets.
  • Handle Personal Bonds and Bail Bonds, ensuring proper preparation, filing, and understanding of requirements.
  • Identify and process Arrest Warrants and Capias Warrants, ensuring correct execution.
  • Address complaints from citizens regarding the court system or denied relief.
  • Manage high volume business by handling dockets and individuals seeking to resolve cases.
  • Interface with jail personnel for fine payments and bond receipts.
  • Translate as needed for the proper disposition of cases.
  • Receive and input data from various sources (police, code enforcement, Citizens' Police Academy) into the computer system.
  • Identify charges and ensure proper DPS codes and court costs are included.
  • Prepare, sign, and verify complaints as formal charging documents.
  • Interact with the Police Department regarding special complaints, probable cause affidavits, and offense reports.
  • Respond to telephone inquiries about case and docket management.
  • Prepare and mail reset notices for cases with incorrect court dates.
  • Manage dockets by checking defendants into court.
  • Prepare payment plans and handle resets for future court dates.
  • Secure waivers of jury trial and set jury and non-jury trials.
  • Manage Forfeiture, Motion, and Privileged Parking Dockets.
  • Assist with juvenile docket matters, including preparing and submitting DIC 81 forms.
  • Notify citizens of jury duty.
  • Work with local lawyers to resolve cases.
  • Input and clear warrants and capias pro fines from local and County systems.
  • Prepare arrest warrants, failure to appear complaints, and capias pro fine warrants.
  • Identify and associate warrants with individuals accurately.
  • Interact with other agencies regarding warrants.
  • Assist window clerks by faxing 'holds' and release requests to the Police Department.
  • Handle bond forfeiture matters, including preparation of judgments nisi and scire facias dockets.
  • Differentiate and apply rules for written bonds, cash bonds, and personal bonds.
  • Work with bonding companies on the release of prisoners.
  • Prepare and complete jail-related paperwork, including data entry and bonding information.
  • Interact with jail personnel regarding prisoner management and release.
  • Attend court dockets conducted at the jail and assist the judge with complaints, judgments, orders of commitment, and magistrate warnings.
  • Generate extensions of time for payment of fines and court costs, payment plans, or community service based on financial resources.
  • Refer individuals with special issues or indigence to the Judge for disposition.
  • Determine payment schedules for granted extensions.
  • Prepare amortization schedules for defendants.
  • Maintain all necessary licenses, certifications, and job requirements without interruption.
  • Work the assigned schedule and comply with the City's timekeeping and attendance policy.
