About The Position

This role involves handling a variety of administrative and customer service duties within the Municipal Courts. The Deputy Clerk will manage case files, process payments, interact with defendants and legal professionals, and maintain accurate records. This position requires attention to detail, strong organizational skills, and the ability to handle a high volume of work in a fast-paced environment. The role is crucial for the efficient operation of the court system, ensuring compliance with legal procedures and providing essential services to the public.

Requirements

  • High school diploma or general education degree (GED).
  • Basic computer skills and use of Windows-based applications.
  • Typing skills of 45 wpm.
  • Good 'people skills'.
  • Must have and maintain, without interruption, all necessary licenses, certifications, clearances, and/or job requirements.
  • Works the assigned schedule and complies with the City's timekeeping and attendance policy.

Nice To Haves

  • Ability to read, write and speak Spanish is an asset.

Responsibilities

  • Handle Defensive Driving Applications, qualifying applicants and determining compliance with completion criteria.
  • Manage Deferred Disposition cases, preparing orders, managing probation terms, and collecting fees.
  • Process various payment types (cash, check, credit card) and ensure all cases are properly paid and satisfied.
  • Ensure compliance with state law for collecting additional costs on cases requiring extended payment periods.
  • Reset cases for future arraignment or trial dockets.
  • Handle Personal Bonds and Bail Bonds, understanding and applying requirements for each type.
  • Identify and address individuals subject to arrest warrants, coordinating with law enforcement.
  • Respond to citizen complaints regarding the court system or denied relief.
  • Manage high-volume business by handling dockets and assisting individuals with their cases.
  • Interface with jail personnel for fine payments and bond receipts.
  • Translate as needed for the proper disposition of cases.
  • Receive and input data from various sources (tickets, complaints) into the computer system.
  • Identify charges, determine proper formal charges, and ensure correct DPS codes and court costs are included.
  • Prepare, sign, and verify complaints as formal charging documents.
  • Interact with the Police Department on special complaints, probable cause affidavits, and offense reports.
  • Respond to telephone inquiries regarding case management and dockets.
  • Prepare and mail reset notices for cases with incorrect court dates.
  • Manage dockets by checking defendants into court.
  • Prepare payment plans and secure waivers of jury trial.
  • Set Jury and non-jury trials.
  • Manage Forfeiture, Motion, and Privileged Parking Dockets.
  • Assist in managing juvenile docket matters, including preparing and submitting DIC 81 forms.
  • Notify citizens of jury duty.
  • Work with local lawyers to resolve cases.
  • Input and clear warrants and capias pro fines from local and County systems.
  • Prepare arrest warrants, failure to appear complaints, and capias pro fine warrants.
  • Identify and associate warrants with individuals accurately.
  • Interact with other agencies regarding warrants.
  • Assist window clerks by faxing 'holds' and release requests to the Police Department.
  • Handle bond forfeiture matters, including preparation of judgments nisi and scire facias dockets.
  • Differentiate among written bonds, cash bonds, and personal bonds and apply appropriate rules.
  • Work with bonding companies on the release of prisoners.
  • Prepare and complete jail-related paperwork, including data entry and bonding information.
  • Interact with jail personnel on prisoner management and release.
  • Clear warrants from local and county systems.
  • Attend court dockets conducted at the jail and assist the judge with case preparation and completion.
  • Generate extensions of time for payment of fines and court costs, payment plans, or community service based on financial resources.
  • Refer individuals with special issues or indigence to the Judge for disposition.
  • Determine payment schedules and prepare amortization schedules for defendants.
  • Maintain all necessary licenses, certifications, and clearances without interruption.
  • Work the assigned schedule and comply with the City's timekeeping and attendance policy.
