About The Position

The Administrative Assistant I is responsible for delivering exceptional service to both internal and external customers by ensuring their needs are met with professionalism, accuracy, and efficiency. This role supports the Office Services, Facility Maintenance department through a variety of administrative and operational responsibilities, including managing the front desk reception area, coordinating visitor services, and providing administrative support to Sr. Contract Administrator and department staff. The ideal candidate is a detail-oriented administrative professional with strong customer service skills, excellent organizational abilities, and a proactive approach to problem-solving. Success in this role requires the ability to manage multiple priorities, maintain confidentiality, and foster positive relationships across the organization. The position will be based in Boise.

Requirements

  • Previous administrative, office support, customer service, or reception experience preferred
  • Strong customer service orientation with the ability to build positive relationships with internal and external stakeholders.
  • Excellent verbal and written communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Ability to perform data entry, basic reporting, sorting, filtering, and spreadsheet management with accuracy.
  • Demonstrated attention to detail and commitment to maintaining accurate records.
  • Ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Strong time management skills with the ability to prioritize tasks and work independently.
  • Professional appearance and demeanor, serving as a positive first impression for visitors and guests.
  • Ability to adapt to changing priorities and support multiple functions within the department.
  • Experience supporting shipping, logistics, mailroom, or package management functions preferred.
  • Ability to analyze information, identify issues, and independently develop effective solutions.
  • Strong interpersonal skills with the ability to interact professionally with executives, vendors, customers, and visitors.
  • Demonstrated ability to manage competing priorities in a fast-paced corporate office environment.
  • Ability to learn and navigate multiple enterprise software applications and systems.

Responsibilities

  • Manage the front desk reception area during normal business hours, serving as the first point of contact for visitors and employees.
  • Coordinate vendor and visitor check-in procedures, including issuing temporary badges and notifying internal contacts of guest arrivals.
  • Respond promptly and professionally to executive, employee, and intercompany requests.
  • Partner closely with Security personnel during emergency situations and facility-related incidents.
  • Create, maintain, and reset UPS CampusShip accounts for all ACI locations.
  • Troubleshoot and resolve UPS shipping system issues and user concerns.
  • Monitor the UPS support email inbox and provide timely responses to customer inquiries and support requests.
  • Serve as the primary point of contact for UPS shipping-related questions from internal and external customers.
  • Ensure compliance with company policies, shipping procedures, and security requirements.
  • Provide administrative support to the Office Services, Facility Maintenance team as needed.
  • Crosstrain and provide backup support for other Office Services functions and responsibilities.
  • Perform additional duties and special projects as assigned.
  • Coordinate incoming and outgoing mail, overnight deliveries, courier services, and package distribution.
  • Serve as liaison with shipping carriers, including UPS, FedEx, and USPS, to resolve service, delivery, billing, and account-related issues.
  • Maintain shipping records, usage reports, and account administration documentation as required.
  • Coordinate visitor hospitality, conference room support, and meeting logistics as needed.
  • Assist with ordering and maintaining office supplies and related inventory.
  • Support office events, meetings, employee functions, and catering coordination.
