Department Office Manager - Asian and Near Eastern Languages The Office Manager serves as the primary administrative lead for the Department of Asian and Near Eastern Languages, overseeing daily operations, financial stewardship, and student services. This role acts as a critical liaison between the Department Chair, faculty, and college administration to ensure operational excellence and cultural alignment. Supporting a department of 23 full-time and 18 adjunct faculty, the Office Manager manages office workflows, provides triage and supervises student employees. Responsibilities include maintaining fiscal integrity for all department accounts, coordinating public relations and alumni outreach, and ensuring a professional, helpful environment for all visitors and staff.

Requirements

  • A firm commitment to the mission of BYU.
  • 4 years of work experience OR an equivalent combination of education and experience.
  • Exceptional organizational skills with the ability to independently manage competing deadlines and administrative workflows.
  • Excellent interpersonal and communication skills with a proven ability to work diplomatically with students and faculty from diverse nationalities and cultural backgrounds.
  • Proficiency in managing numerical data, including bookkeeping, account reconciliation, and budget tracking.
  • Working knowledge of Microsoft Office Suite and Google Workspace, with the ability to quickly master institutional software such as Workday.
  • Effective training and supervisory skills with students.

Nice To Haves

  • Bachelor’s degree.
  • Work or education in public relations, accounting, or student advisement.
  • Some proficiency in Arabic, Chinese, Modern Hebrew, Japanese, or Korean (intermediate level or higher).
  • Prior experience with university-specific hiring, payroll, and purchasing systems.
  • Ability to market department activities via social media (Facebook, YouTube, LinkedIn, etc.).
  • Familiarity with Adobe Creative Cloud (InDesign, Illustrator, Photoshop) for the creation of branded departmental materials.

Responsibilities

  • Financial Management: Manage all departmental budget and accounting functions, including reconciling department purchases, oversee campus cards, budget adjustments, scholarship submissions, and monthly financial reporting.
  • Departmental & Faculty Support: Coordinate hiring and onboarding for adjuncts and student employees, manage logistics for full-time faculty searches, provide administrative support to the Department chair and oversee textbook and instructional resource procurement.
  • Office Management & Operations: Independently manage administrative workflows; develop and implement office procedures; maintain physical space and equipment; and ensure adherence to all university deadlines and documentation requirements.
  • Public Relations & Outreach: Regular updates to the department website and social media strategy; coordinate department communications and event publicity; and maintain a professional, welcoming department presence.
  • Reception & Student Services: Coordinate front-office operations and student staff; handle escalated or complex inquiries from students; and provide general information on course offerings or refer students to appropriate college advising.
