About The Position

Provides administrative oversight and coordination between department and research projects for the RNI Innovation Center. The Rockefeller Neuroscience Institute (RNI) at West Virginia University is a comprehensive multidisciplinary patient care, education, research, and innovation institute providing neurological and mental healthcare for 330,000 patients annually. More than 300 physicians and scientists of the RNI improve lives by pioneering advances in neuroscience, brain health, and therapeutics. The RNI team uses the latest technologies with academic, government, and industry partners to make tangible progress to combat public health challenges ranging from addiction to Alzheimer’s disease.

Requirements

  • Bachelor’s degree in business or related field.
  • A minimum of five (5) years of experience in the following: Project coordination, and administrative oversight in a medical research department.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment
  • Knowledge of research methodologies.
  • Understanding of strategic planning.
  • Knowledge of departmental operations, regulations and software.
  • Proficiency in oral and written communication.
  • Ability to analyze data for decision making.

Responsibilities

  • Provide direct operational and management support to the RNI Innovation Center Research Department.
  • Serve as a central point of coordination between RNI leadership, investigators, WVU, WVU Medicine, sponsors, and vendors to ensure effective execution of clinical research projects.
  • Works with leaders to assess their administrative needs and support.
  • Proposes policies and procedures related to work scheduling, leave, office procedures for department.
  • Oversees and assists with purchasing and payment of equipment
  • Assist with posting, hiring and onboarding employees.
  • Acts as a primary point of contact for all research related communication.
  • Assist in the coordination of clinical research project planning, including study startup, execution, and closeout activities across multiple trials and research programs.
  • Work closely with the Executive Director of Research Operations, the Associate Director of Research Operations, and the Director of Innovation to develop and maintain clinical research project plans, timelines, milestones, and deliverables, ensuring alignment with sponsor requirements, institutional policies, and regulatory standards.
  • Collaborate with RNI Human Resources to develop staffing strategies and manage the recruitment and onboarding of clinical research project personnel such as study coordinators, project managers, regulatory specialists, and data management staff.
  • Works with RNI Human Resources to maintain leave and work location policies and procedures and communicate them throughout department.
  • Coordinate the clinical research hiring process in support of active and upcoming studies, ensuring appropriate staffing levels to meet enrollment goals and project timelines.
  • Partner with RNI Research Department leadership to identify resource needs, assess workload distribution, and optimize team performance across clinical research projects.
  • Work closely with the RNI financial team to develop, track, and manage clinical research budgets, including personnel costs, vendor expenses, and sponsor-funded resources.
  • Work closely with RNI HR department to monitor clinical research contracts and agreements, including clinical trial agreements (CTAs), vendor contracts, and service agreements required to support project execution.
  • Track and manage contract amendments, renewals, and scope changes as studies evolve.
  • Facilitate cross-functional meetings, including study kickoff meetings, status updates, and issue-resolution discussions with internal teams and external partners.
  • Develop and maintain project management tools, dashboards, and reports to track study performance and communicate status to RNI leadership.
