About The Position

Temple University's College of Liberal Arts is searching for a Department Coordinator. The College of Liberal Arts is home to 30+ undergraduate majors, 42 minors, and 32 graduate degree programs. The Department Coordinator in the College of Liberal Arts reports to the Chair and the Administrator and is responsible for delivering administrative support to faculty, students, and staff. Core responsibilities include supporting departmental operations and administrative processes and assisting with student services and events. In addition, the Coordinator performs a variety of duties, including serving as the primary point of contact for the office by greeting guests and responding to inquiries, submitting requisitions for supplies and workorders, collecting syllabi, assisting with departmental email accounts and calendars, coordinating events and meetings, and working with Dean’s Office on course scheduling and adjunct hiring.

Requirements

  • At least two years of directly related experience.
  • An equivalent combination of education and experience will be considered.
  • Experience with Microsoft Office Suite (including OneDrive, SharePoint, Word, Excel, and PowerPoint).
  • Experience working in high traffic locations.
  • Must be able to work independently, prioritize and organize work.
  • Excellent written, oral, and interpersonal skills along with the ability to effectively communicate with students, faculty, administrators and staff.
  • Excellent customer service orientation and organizational skills with attention to details.
  • Ability to learn and adapt to new technology quickly.
  • Familiarity with academic policies, procedures and institutional regulations.
  • Ability to assist the department Chair with curriculum management, syllabi collection, and catalog updates.
  • Ability to provide administrative support to academic departments, including coordination of academic programs, faculty support, student services, and departmental operations.
  • This position will have access to Confidential or sensitive Personal Identifiable Information (PII) and will require a background check.

  • Proficient in common University-specific computer application programs such as Banner, TUMarketplace, Concur, Kronos and Taleo or similar ERP systems.

Responsibilities

  • Deliver administrative support to faculty, students, and staff.
  • Support departmental operations and administrative processes.
  • Assist with student services and events.
  • Serve as the primary point of contact for the office by greeting guests and responding to inquiries.
  • Submit requisitions for supplies and work orders.
  • Collect syllabi.
  • Assist with departmental email accounts and calendars.
  • Coordinate events and meetings.
  • Work with Dean’s Office on course scheduling and adjunct hiring.
  • Provide administrative support to the Chair, Administrator, faculty and students.
  • Answer the main phone line, greet guests and respond to inquiries. Make appropriate referrals as necessary.
  • Learn and understand all University and College policies and be able to research policy websites to find answers to inquiries.
  • Submit TUMarketplace requisitions, including supply orders and facility requests, ensuring timely processing and fulfillment.
  • Direct students to the correct University or College personnel for assistance when needed.
  • Enter the course schedule each semester by the deadline indicated. Work closely with the Chair, Administrator, and Director of Academic Administration to ensure the schedule is accurate and complete. Continue to monitor for accuracy and ensure instructors are listed correctly.
  • Complete all hiring worksheets for adjunct hiring and troubleshoot any issues that may arise throughout the hiring process. Maintain adjunct records including English Fluency forms, transcripts and CVs.
  • Collect and organize award nominations for undergraduate students in coordination with the Chair, Undergraduate Chair, and advisors.
  • Collect syllabi on a semesterly basis and upload to the college’s One Drive.
  • Manage departmental email accounts and forward student inquiries to the appropriate faculty.
  • Manage general correspondence of department: internal faculty and CLA emails; distribution of information; gathering availability to coordinate meetings.
  • Maintain department calendar keeping current with departmental and college-related events and activities.
  • Coordinate meeting/event arrangements: scheduling conference rooms, classrooms and event space; submitting catering and facilities orders; ordering posters; processing photocopy requisitions and completing other administrative event preparations. Provide updates and confirmations.
