About The Position

To assist the Health Services Office and Student Assistance Program by providing general office coordination, reception, and support services. To assist students, staff, and parents in obtaining requested care or information and/or directing them to an appropriate resource. To participate with the staff in emergency situations as appropriate and necessary. This person will work closely with the Coordinator/Liaisons and SAP intern to help students move successfully through the Student Assistance Program. This employee works within established guidelines, exercising strict confidentiality, initiative and independent judgment in performing duties and in staying current with information and procedures. They must work independently, demonstrate attention to detail, be well organized and manage multiple tasks with interruptions.

Requirements

  • High school diploma or equivalent experience.
  • Exemplary interpersonal skills and ability to communicate clearly and distinctly with staff, students and parents.
  • Capacity to project a positive image of the district to parents, students, staff and outside vendors, as well as exhibit a positive employee attitude.
  • Knowledge of computers, current office practices, procedures and additional equipment.
  • Ability to keyboard rapidly and accurately and use various types of software applications (specifically Microsoft Office and Google applications).
  • Ability to assemble and organize data and prepare reports from records, including student records and state reports.
  • Strong writing ability to draft original correspondence to staff and community.
  • Physical ability to move around frequently in the office area as well as in various other areas throughout the building.
  • Ability to manage multiple tasks during crisis situations and communicate clearly with paramedic and law enforcement.
  • Ability to handle various situations with a high level of professionalism.
  • Ability to be aware of and maintain the highest level of confidentiality of information.
  • Valid CPR/AED certifications; must keep current.

Responsibilities

  • Performing reception duties, including organizing and supervising students coming in to the office.
  • Collecting, sorting and distributing mail.
  • Completing data entry, maintaining databases, completing and maintaining forms, writing correspondence, typing reports and other documents.
  • Organizing mailings, scheduling appointments/meetings/rooms, ordering refreshments, organizing special programs, keeping an accurate department calendar/schedule.
  • Making and answering phone calls, delivering messages, making photocopies.
  • Answering student questions, providing program information when appropriate, and directing them to appropriate resources.
  • Ordering routine maintenance on office equipment; ordering supplies, submitting paperwork for the Business Office, and maintaining program budgets.
  • Assisting with vision and hearing screenings and other health related projects and programs.
  • Corresponding with sender schools and outside agencies as needed.
  • Preparing freshman and transfer student records, labels, state reports.
  • Compiling data for statistics, keeping accurate and updated documents.
  • Retrieving and organizing archived health records, prepare records for electronic archival.
  • Assisting in emergency situations in a calm manner, managing multiple tasks, and communicating clearly with paramedics and law enforcement (will be trained in triage procedures).
  • Assisting Health Services Office at the Northfield campus.
  • Communicating with students and staff regarding meetings and program events.
  • Attending and providing support during meetings and program events.
  • Collaborating with staff and administration in the preparation of the Youth Risk Survey Data.
  • Supporting the Social Work Department as needed.
  • Providing assistance in planning, organizing, and executing the SAP Programs.
  • Participating in professional growth activities.
  • Exhibiting a positive attitude and projecting a positive image of the district to staff and others.
  • Performing other duties as assigned by supervisor.
