About The Position

The Dental Receptionist is responsible for a variety of administrative and patient-facing duties within a dental office. This role involves managing patient appointments, handling billing inquiries, maintaining patient records, processing payments, and ensuring efficient office operations. The position requires excellent communication, organizational, and computer skills, with a focus on patient confidentiality and customer service. The Dental Receptionist plays a key role in the patient experience, from initial contact to scheduling follow-up appointments and financial arrangements.

Requirements

  • High school diploma or equivalent required.
  • Minimum of six months of previous experience in a medical/dental office or customer service position required.
  • Excellent communication and math skills.
  • Organized and detailed.
  • Efficient typing, computer, calculator, and filing skills.
  • Courteous telephone etiquette.
  • Protects patients’ rights by maintaining confidentiality of personal and financial information.
  • Ability to communicate effectively with, and relate to, a diverse population in a professional and courteous manner including patients and coworkers.
  • Flexible and able to function as a team member.
  • Good verbal and written skills.
  • Must be able to sit, stand, and or walk for an entire workday.
  • Must be able to lift, carry, push, pull, and or twist while holding up to 25 lbs. occasionally.

Nice To Haves

  • Associate degree in health related field preferred.
  • Pertinent experience may be accepted in lieu of degree.
  • One to Two years of experience in a dental office setting preferred.
  • Bilingual preferred.

Responsibilities

  • Answers telephones, including scheduling patient appointments, handling account billing inquiries, and taking detailed dental communication notes.
  • Prepares for future appointments by printing daily schedules, confirming appointments, and filling cancellation slots.
  • Greets incoming patients and visitors.
  • Marks the schedule appropriately, obtains demographic information, and updates patient registration information electronically.
  • Prepares registration and encounter worksheets for efficient workflow.
  • Acquires patient financial information and collects payments.
  • Completes income determination accurately.
  • Verifies insurance eligibility.
  • Manages the cash drawer and ensures daily deposit accuracy.
  • Assists outgoing patients, schedules appointments, and completes appointment cards.
  • Reviews treatment plans with dental support staff and makes financial arrangements.
  • Establishes interpreter services as needed.
  • Utilizes computer software programs.
  • Scans documents into appropriate patient records.
  • Inputs, prints, and mails no-show letters according to policy.
  • Generates patient portal pin numbers.
  • Performs other duties as assigned.
