About The Position

The Dental PAS Coordinator works closely with the Associate Director of Patient Access and the Director of Dentistry. The Dental PAS Coordinator serves as the lead for the dental department and provides continued education and training with dental inter and intra departments while assuring a positive patient experience and care team-based setting.

Responsibilities

  • Orchestrates dental training for new Dental PAS after their initial new hire PAS training and is the point of contact for providing continued education for existing Dental PAS.
  • Maintains communication with critical departments such as Dental Billing, Patient Engagement Specialists, the Associate Director of Patient Access, Dental Director, and the PAS team.
  • Oversight of Scheduling and delegation pertaining to different grants, projects, or School-Based Oral Health Programs.
  • Works with dental billing and formally understands dental billing and insurance. Monitors pre-authorization of insurance for specific dental procedures and communicates with dental billing.
  • Responsible for looking ahead 3-4 days on all dental provider schedules to look for any ‘red flag’ appointments, scheduling errors, etc. Also responsible for being proactive and following up with Dental PAS to ensure that all appointments are rescheduled for any provider’s time-off requests.
  • Meets with the Dental Director for a 1:1 monthly to discuss changes/problem areas pertaining to Dental Scheduling and is responsible for sending a recap of meeting minutes to the Associate Director of Patient Access and the Dental Director.
  • Responsible for attending dental department meetings and presenting updates/changes from the PAS department.
  • Oversees Educational Program Scheduling & VCU External Rotations, paperwork, and coordination of schedules.
  • Will rotate to each site at least once a month, including Rustburg, while the MDU is serviced there.
  • Addresses and problem-solves the immediate concerns and monitors overall best practices for the team.
  • Collects data for patient complaints and works to resolve issues within your scope; refers more complex situations to the PES team member.
  • Arranges the PAS schedule and ensures adequate coverage for all dental sites; approves time-off for staff and covers the office or arranges for coverage of the office when there are absences.
  • Responsible for ordering office supplies for all dental offices.
  • Completes the new hire performance onboarding checklist and performs yearly performance evaluations for Dental PAS.
  • Deletes payments or documents from EMR for Dental PAS.
  • Assures that the team complies with front office audits, actions, telephone/web encounters, insurance verification, patient documents, scheduling rules, and guidelines.
  • Physical attendance is an essential element of the job and necessary to perform the essential functions for this position.
  • Coordinates with the Associate Director of Patient Access or appropriate administrative staff for needed tech support, as well as coordinating schedule blocks.
  • Responsible for relaying any updates and/or necessary dental information from dental to other PAS.
  • Performs other duties as assigned.
  • Assist with handling concerns and problem-solving issues as it relates to the dental department.
  • Understands Dental Billing, Accounts Receivable, Insurance Requirements, can communicate dental needs in the intra-department & work well with the Billing Department.
  • Coordinates scheduling and paperwork for local school programs and communication with Nurses and Scheduling.
  • Expands and branches new ideas with local dentists and programs, senior homes, reducing workload for PES and operations.
  • Management may modify, add, or remove any job functions as necessary or as changing organizational needs require.
