About The Position

We are looking for an experienced, highly capable Office Manager to take ownership of the day-to-day operations of a high-production dental practice focused on esthetics, surgical dentistry, dental implants, and full-mouth rehabilitation. This is a leadership position. We are looking for someone who is confident taking charge, managing a team, holding staff accountable, communicating directly with patients, and overseeing the financial and operational performance of the practice. The Office Manager will be responsible for leading the entire administrative team and ensuring that the office operates efficiently, professionally, and at a high level. You will be expected to take ownership of the office, identify problems, make decisions, implement solutions, and hold the team accountable.

Requirements

  • Significant experience managing a dental office or dental practice
  • Demonstrated experience leading staff
  • Experience with dental collections, payments, and financial reporting
  • Strong understanding of dental office operations
  • Proven ability to manage patient concerns and difficult situations

Nice To Haves

  • Experience in a high-production implant, surgical, prosthodontic, or full-mouth rehabilitation practice
  • Experience with large treatment plans and case acceptance
  • Experience managing a growing dental practice
  • Strong Dentrix or comparable dental software experience

Responsibilities

  • Lead, supervise, and manage the entire office staff
  • Establish clear expectations and hold team members accountable
  • Manage scheduling, staffing, workflow, and daily office operations
  • Address staff performance issues and resolve conflicts
  • Train and develop team members
  • Create a culture of professionalism, urgency, accountability, and patient service
  • Take charge when problems arise rather than waiting for someone else to solve them
  • Handle complex patient concerns and complaints professionally
  • Communicate confidently with patients regarding treatment, scheduling, financial arrangements, and expectations
  • Help guide patients through larger treatment plans, including surgical and full-mouth rehabilitation cases
  • Maintain a high level of patient service while protecting the interests and standards of the practice
  • Oversee patient payments and financial arrangements
  • Monitor daily collections and outstanding balances
  • Review and reconcile production and collection reports
  • Track accounts receivable and identify collection issues
  • Ensure accurate posting and processing of payments
  • Monitor financial performance and communicate important trends to the doctors/ownership
  • Work closely with the front desk and billing team to ensure accurate financial processes
  • Oversee daily office workflow and efficiency
  • Monitor schedules and maximize productive clinical time
  • Coordinate closely with doctors and clinical staff
  • Ensure office policies and systems are consistently followed
  • Identify inefficiencies and implement better systems
  • Maintain organization and accountability across the practice
  • Assist with inventory, vendors, supplies, and other operational needs as necessary
