About The Position

The Dealership Admin performs a variety of administrative tasks for the purpose of supporting financial processing and control efforts. This role reports to the Business Manager. This is an in-person role at the dealership, Monday-Friday, 8:30 am - 5 pm.

  • High School graduate or equivalent, 18 years or older required.

  • Prior office experience preferred, but not required

Responsibilities

  • Provide administrative support to the dealership office, managers, and accounting team
  • Maintain organized filing systems (deal jackets, contracts, inventory records, etc.)
  • Handle basic customer service issues and escalate when needed
  • Checks in Titles – Receives (in Mail), documents receipt in internal data warehouse, distributes title documentation
  • Review deal jackets for accuracy, ensuring all paperwork (contracts, financing, DMV docs) is complete
  • Perform data entry for vehicle sales, service tickets, and customer information
  • Assist with scheduling (meetings, interviews, service appointments)
  • Assists with preparation of paperwork of sales transactions
  • Routes invoices for processing
  • Help with accounts payable/receivable tasks (invoicing, receipts, basic reconciliations)
  • Other projects as assigned
