About The Position

Nakupuna Services is seeking multiple Database Sustainment Specialists (DSS) to support the DMLSS-FM Databases throughout CONUS Military Treatment Facilities. The DSS will be located within and support their respective site, participating in government personnel Facility Management Team meetings as necessary. New DSS must receive initial comprehensive DMLSS classroom training, web-based training, and any available DCO training, including BUILDER. Each DSS must be prepared to travel to remote locations supported by their respective DMLSS servers. This is an on-site position.

Nice To Haves

  • DMLSS experience is desirable but not mandatory; Training will be provided.
  • Two years’ database management experience preferred but not required.
  • Working knowledge, familiarity, or background in medical facilities management is desirable.
  • Associate’s or Bachelor’s degree in Facilities Management, Business Administration, Information Systems, Construction Management, or related field.
  • Experience may be substituted for formal education.

Responsibilities

  • Create, maintain, and update DMLSS-FM Inventories, including facilities, rooms, and Facility System Inventory (FSI)/real property installed equipment (RPIE) using DMLSS-FM system modules.
  • Populate all data fields for facility inventory, including Physical Description, Organization, Functions, Key Events/Review, Permits, Real Property Asset, Asset Allocation, Asset Configuration, and Funding tabs, coordinating with the DHA Real Property Manager for specific tabs.
  • Populate all data fields for room inventory, including Detail, Data, and Space tabs, ensuring accuracy with MEPRS, Department, Service DMISID, SEPS Room Code and Type, and housekeeping requirements, coordinating with Facility Management staff, DMLSS System Administrator, Environmental Services, and Resource Management personnel.
  • Populate data fields for FSI/RPIE inventory, including Classification, Features, Condition, Manufacturer, Warranty, and Parts tabs, via validation surveys with Operation and Maintenance personnel, ensuring all inventory items are surveyed every 5 years if not covered by an O&M contract.
  • Provide quality assurance on O&M surveyed or maintained FSI/RPIE and report non-compliance to facility management staff and DHA POC.
  • Validate that Cost and History tabs are updated by proper completion of Unscheduled/Demand Work Requests and PM Scheduled Work Requests.
  • Inactivate outdated records upon approval of Facility Manager or designee.
  • Perform 100% Room Inventory in accordance with DHA tasker, validating all DHA sustained real property for accuracy and coordinating with MTF Coders, DMLSS System Administrators, Environmental Services, and CAD support teams.
  • Maintain DMLSS-FM Requirement Management Module, providing support on active facility requirements, annually updating DHA mandated fields, associating requirements for critical systems, entering and updating information from BUILDER Annual Work Plans, and supporting DHA data calls.
  • Maintain DMLSS-FM Project Management Module, providing support on maintaining and updating records of active facility projects, populating data elements, tracking financial progress, associating documentation, maintaining a Project Management Journal, inactivating outdated project records, and supporting DHA and project data calls.
  • Support Drawing Management by uploading compatible drawings to reflect renovations within 10 business days, ensuring most recent CAD/Drawbase drawings are stored and accessible, performing tasks using Drawbase CAD software, and maintaining a list of work requests and projects that result in facility layout changes, sketching changes on existing drawings.
  • Support and attend Facility Space Utilization Board (FUB/Space Committee), providing input and documenting minutes and approved changes.
  • Support Regulatory Compliance/The Joint Commission (RC/TJC) Program by administering the DMLSS RC/TJC module, entering procedures and documents, monitoring corrective activities, ensuring Life Safety work requests are classified correctly, generating the SOC report, and supporting/attending Environment of Care (EOC) tours.
  • Support Work Request, Preventive Maintenance, and Real Property Installed Equipment, performing work management support services for tracking preventive and unscheduled maintenance using the DMLSS-FM Work Request module, providing work request information for trend identification and facility operating/maintenance cost analysis, creating, updating, and closing work requests, and maintaining the Preventive Maintenance Program by creating and maintaining maintenance procedures and schedules.
  • Provide on-site Operations and Maintenance support, offering quality assurance support and analysis to Health Commands, Facility Management staff, and O&M contractors, as required by DHA.
  • Support Miscellaneous DMLSS-FM Functions, including maintaining accurate contact information in the Directory module, ensuring identified records are set inactive in the Records Management module, coordinating with local DMLSS System Administrator for user roles and privileges, providing training on the DMLSS-FM Customer Support Work Request system, and providing desk-side overviews of the DMLSS-FM system.
  • Ensure continuous DMLSS-FM implementation except for utility or IT issues outside DSS control.
  • Submit a Monthly Assessment Report to the FM and AOR Manager.
  • Submit reports to support workload and performance reporting as required.
  • Perform travel to complete room inventory as required.
