About The Position

Nakupuna Services is seeking multiple Database Sustainment Specialists (DSS) to support the DMLSS-FM Databases throughout CONUS Military Treatment Facilities. The DSS will be located within and support their respective site, participating in government personnel Facility Management Team meetings as necessary. New DSS must receive initial comprehensive DMLSS classroom training, web-based training, and any available DCO training, including BUILDER. Each DSS must be prepared to travel to remote locations supported by their respective DMLSS servers. This is an on-site position.

Nice To Haves

  • DMLSS experience is desirable but not mandatory; Training will be provided
  • Two years’ database management experience preferred but not required
  • Working knowledge, familiarity, or background in medical facilities management is desirable
  • Associate’s or Bachelor’s degree in Facilities Management, Business Administration, Information Systems, Construction Management, or related field.
  • Experience may be substituted for formal education.

Responsibilities

  • Create, Maintain and Update DMLSS-FM Inventories: Create, maintain, and update DMLSS-FM database inventories of facilities, rooms, and Facility System Inventory (FSI)/real property installed equipment (RPIE) using DMLSS-FM system modules. Populate all data fields on various tabs, coordinating with the DHA Real Property Manager and Facility Manager or designee for accuracy. Ensure all rooms are accurately represented with specific data fields through coordination with Facility Management staff, DMLSS System Administrator, Environmental Services, and Resource Management personnel. Create, maintain, and update the FSI/RPIE inventory through validation surveys with Operation and Maintenance personnel, providing quality assurance and recommendations. Validate that Cost and History tabs are updated by proper completion of Unscheduled/Demand Work Requests and PM Scheduled Work Requests. Inactivate all outdated records upon approval.
  • Perform 100% Room Inventory: Validate all DHA sustained real property for accuracy. Coordinate and accurately define DMLSS Room Inventory fields with MTF Coders, DMLSS System Administrators, Environmental Services, and CAD support teams.
  • Maintain DMLSS-FM Requirement Management Module: Provide support on active facility requirements, annually updating DHA mandated fields, and associating requirements for critical systems. Enter and update information from BUILDER Annual Work Plans and provide support for DHA data calls.
  • Maintain DMLSS-FM Project Management Module: Provide support on maintaining and updating records of all active facility projects, populating data elements, tracking financial progress, and associating documentation. Maintain a Project Management Journal for each active project and inactivate outdated project records. Provide support to DHA and all project data calls.
  • Support Drawing Management: Upload DMLSS/Drawbase compatible drawings reflecting renovations or modifications within 10 business days of receipt. Ensure most recent CAD/Drawbase DMLSS compatible drawings are properly stored and accessible. Use Drawbase CAD software to view, zoom, print, and copy drawings. Maintain a list of work requests and projects that result in facility layout changes and sketch changes on existing drawings. Support and attend Facility Space Utilization Board meetings, document minutes and approved changes.
  • Support Regulatory Compliance/The Joint Commission: Administer the DMLSS RC/TJC module, entering procedures, documents, and inspection requirements. Monitor corrective activities monthly and notify of expiring actions. Ensure Life Safety work requests and projects are properly classified. Generate the SOC report when requested. Support and attend Environment of Care (EOC) tours and document minutes.
  • Support Work Request, Preventive Maintenance, and Real Property Installed Equipment: Support Operations & Maintenance requirements that do not require an O&M contract, enabling tracking of work performed. Provide work request information to facility management staff for trend identification and accurate, dependable, actionable information. Create, update, and closeout work requests based on information from facility management operations. Create and maintain maintenance procedure and preventive maintenance schedule records. Coordinate and administer the completion closeout process of monthly maintenance work requests.
  • On-Site Operations and Maintenance Support: Provide quality assurance support and analysis to Health Commands, Facility Management staff, and O&M contractors, as required by DHA. Certain DMLSS modules will not be managed by the DSS.
  • Support Miscellaneous DMLSS-FM Functions: Maintain accurate contact information in the Directory module. Ensure identified records are set inactive in the Records Management module. Coordinate with local DMLSS System Administrator to ensure user roles and privileges are customized. Provide training on the DMLSS-FM Customer Support Work Request system and provide desk-side overviews of the DMLSS-FM system. Ensure continuous DMLSS-FM implementation except for utility or IT issues.
