About The Position

Performs a variety of customer service and administrative tasks requiring thorough knowledge of office systems and procedures, including customer contact, data entry, typing, word processing, office machine operation, and filing. This is a Temporary Full-time position that will be ending on September 30, 2026.

Requirements

  • High School Diploma or GED.
  • Minimum of two (2) years of related work experience in a clerical, data entry or related role using Microsoft Office Suites.
  • Ability to work remotely with secured internet connection.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.
  • Knowledge of creating and maintaining electronic spreadsheets and using such data for progress reporting.
  • Proficient in Microsoft Office Suite and related business software.
  • Ability to accurately type a minimum of 35 words per minute.
  • Ability to use 10-key for data entry.
  • Effective organizational oral and written communication skills.
  • Hard working, self-starter, able to complete projects to specifications with limited supervision.
  • Willing to work non-traditional hours and days to meet the needs of this position.
  • COVID-19 vaccination required within 60 days of hire, unless approved for religious or medical exemption.
  • Maintain a valid California driver’s license, reliable transportation, adequate auto insurance as required by State law, and insurability by agency carrier for those driving agency vehicles.

  • College coursework in Business Administration, Finance, Accounting or related field preferred.

Responsibilities

  • Answers, screens and transfers inbound phone calls to appropriate staff.
  • Maintains computer and file systems as directed. Conducts periodic quality control audits to ensure complete and accurate recordkeeping.
  • Creates, maintains, and enters data into information systems.
  • Reads, understands, and effectively implements computer program user manual instructions, accurately follows data entry procedures and supervisor’s instructions.
  • Accurately enters data from documents and forms; and verifies accurate data output on computer printouts (i.e. reports, etc.).
  • Maintains customer and delivery data to interface with operations.
  • Keeps tallies, totals items and balances totals.
  • Collaborates with Finance Department on a regular basis to deliver and process data in response to inquiries, issues, and needs for software, procedures, and services.
  • Checks input data for completeness and accuracy; confers with supervisor for obtaining corrections and/or additional needed information.
  • Maintains and processes statistical data through the appropriate database(s)/software and runs reports as needed by the Food Services program.
  • Establishes, maintains, and updates files, databases, records, and/or other documents for recurring internal reports. Generates reports as needed.
  • Assists the Transit Director with marketing efforts.
  • Maintains accurate files and records of all processed documents.
  • Provides outstanding customer service.
  • Maintains confidentiality of records and information on staff, clients and the program.
  • Operates office machines such as photocopiers and scanners, facsimile machines, multiple phone lines and voice mail systems, and personal computers.
  • Travels for agency business using reliable transportation.
  • Maintains regular attendance and punctuality.
  • Works evenings and weekends as required.
  • Performs other duties as assigned.
