About The Position

PaintCare is seeking a detail-oriented Data Support Specialist to join its team. This role is central to PaintCare’s day-to-day operations, combining hands-on data management with customer service and cross-functional collaboration. The ideal candidate brings 1–3 years of experience in data entry or account maintenance, works with precision and speed across multiple platforms, and is comfortable operating independently with limited oversight after training. Strong proficiency in Salesforce and Microsoft Excel is required. Candidates must reside in a state where the PaintCare program operates: California, Colorado, Connecticut, Illinois, Maine, Maryland, Minnesota, New York, Oregon, Rhode Island, Vermont, Washington, District of Columbia. PaintCare is a nonprofit 501(c)(3) organization established in 2009 by the American Coatings Association (ACA) to implement state-mandated paint stewardship programs on behalf of paint manufacturers. PaintCare makes it easy for households, businesses, and institutions to recycle leftover paint by operating drop-off locations, arranging for recycling and proper disposal, and conducting public education. The Data Support Specialist plays a key role supporting internal and external customers through manufacturer registration, brand/product record maintenance, and development of informational and compliance reports. This role is suited for someone who can learn new processes quickly, manage detailed data updates across multiple platforms, and make sound decisions. The role goes beyond basic entry work and requires careful application of organizational knowledge, customer service skills, and problem-solving to ensure operational activities run smoothly. Candidates should be comfortable working independently with limited oversight. The role combines hands-on data management, customer service skills, and deep familiarity with Salesforce and Microsoft Excel. The ideal candidate is detail-oriented, proactive, and comfortable working with cross-functional teams to improve data workflows.

Requirements

  • Proven experience in data entry, data maintenance, or customer account setup work that requires both speed and a high level of accuracy.
  • Ability to understand data scenarios and interrelationships and make appropriate updates independently.
  • Hands-on experience with Salesforce (e.g., updating records, running reports, managing lists, troubleshooting user issues).
  • Hands-on familiarity with multiple information systems including Microsoft 365 (especially Excel), document management tools (Box.com or similar), and other database systems; knowledge of FileMaker a plus.
  • Strong troubleshooting and analytical skills for identifying errors, interpreting source information, and resolving record discrepancies.
  • Able to complete training and work independently in a DC-based office with remote managers and colleagues.
  • Able to travel occasionally for team meetings, conferences, and organizational events as needed.

Nice To Haves

  • Some familiarity with data visualization tools (e.g., Power BI, Tableau).
  • Experience with data imports/exports using tools like Data Loader or CSV workflows.
  • Understanding of data governance and data-quality best practices.
  • Basic knowledge of SQL or other query languages.
  • Familiarity with products manufactured by the paint and coatings industry, including coatings-related materials (e.g., surface prep, caulk, and paint additives).
  • Experience with retail hardware or paint operations, or paint manufacturer internal operations (particularly compliance reporting).
  • General knowledge of product stewardship programs, laws, and organizations.
  • Experience with local household hazardous waste programs, business hazardous waste management, and/or solid waste characterization.

Responsibilities

  • Maintain and update master data records for customer accounts and related setups with a strong focus on precision, completeness, and turnaround time.
  • Review incoming requests, determine the correct data actions needed, and resolve inconsistencies by applying program standards, product definitions, and regular data practices.
  • Work across several business applications simultaneously, including enterprise and document management systems, to complete account maintenance accurately and efficiently.
  • Support the creation and upkeep of new data that facilitates manufacturer registration, reporting, and remittance.
  • Investigate record issues, identify missing or conflicting information, and troubleshoot data problems before updates are finalized.
  • Participate in virtual training, absorb new procedures quickly, and apply them effectively within a short onboarding period.
  • Adjust to shifting priorities and expanded data responsibilities, including additional data scope and new tools introduced to the team.
  • Manage daily assignments independently with limited oversight while maintaining consistent productivity and quality.
  • Collaborate with cross-functional partners to resolve data issues, answer record-related questions, and support ongoing operational needs.
  • Import, export, and transform datasets between Salesforce, Excel, and other internal systems.
  • Ensure compliance with data governance, privacy, and security policies.
