About The Position

This is a term-limited position, anticipated to last through 04/30/2029, contingent upon funding. The selected individual will be required to sign a waiver of retention rights, inferring no rights to retain a state-classified position beyond the assignment. This position is eligible for full benefits and is only open to Colorado state residents. Located at the Colorado Springs Office, the eligibility list established from this job announcement may be used to fill future Data Specialist vacancies in Colorado Springs. This position is compensated on a bi-weekly pay cycle. The position maintains electronic records for the Colorado Department of Corrections (CDOC) by utilizing technical software to scan, process, index, review, save, store, ensure quality control, research, and retrieve documentation in compliance with established standards for information protection. Standard practices are used for identifying, sorting, and preparing documents for the scanning process.

Requirements

  • Must be a resident of the State of Colorado at the time of application.
  • Three (3) years of experience applying program rules and procedures for entry, retrieval, review, revision, and manipulation of data in computerized information databases.
  • Must be 21 years of age.
  • Possess a valid driver’s license.
  • Possess a high school diploma or GED.
  • Must have NO felony convictions.
  • Must have valid U.S. work authorization at the time of application.
  • Must be able to successfully pass all modules of the six-week Colorado Department of Corrections Basic Training, to include English reading comprehension, relevant competency assessments and written/practical exams in Defensive Tactics.
  • Must possess the physical ability to successfully complete Defensive Tactics.
  • Must be able to see and hear in order to observe, address and respond to potential breaches in safety and security.
  • Must be willing and able to travel.
  • Must be willing and able to work various shifts, days, afternoons, graveyards (nights) which includes a rotating shift schedule.
  • TB (tuberculosis) screening is required of all new employees upon hire.

Nice To Haves

  • Data entry work experience, similar to the job duties as mentioned above.
  • Highly proficient in Microsoft Office (i.e. Access, Excel, PowerPoint, Word).
  • Experience scanning multiple documents and organizing them.
  • Hardware proficient - computers, scanners, printers, dual-monitor.
  • Research oriented; online and through strong telephone etiquette.
  • Relevant years of state service working in a correctional environment or working with confidential documents.

Responsibilities

  • Creates, merges, prepares, purges, scans, processes, reviews, saves, stores, indexes, and retrieves inmate files.
  • Gathers information for reports and files using appropriate research, resources, and databases.
  • Troubleshoots and reports problems with processing transactions to the unit supervisor.
  • Explains/trains system rules and procedures to others.
  • Ensures quality assurance and quality control to verify documents into the appropriate indexes, and adds any necessary documents to a section/index of a file.
  • Lifts/moves 40lbs. occasionally and 10lbs. regularly of legal boxes/files.
