About The Position

Primary responsibility for accurate and concurrent data entry and management utilized for research, reporting, maintaining certifications, accreditations and quality improvement activities within Oncology Services. Establish and maintain databases including design, documentation, extraction, and deletion. File management and testing to ensure data integrity and efficient processes for data collection, entry, and retrieval. Maintain security and confidentiality of patient/protocol information. Preparation for, monitoring and maintaining data/ processes related to cancer accreditations. Works in collaboration with others to optimize data management and functionality/ reporting of quality improvement processes.

Requirements

  • Bachelor’s Degree in Business, Computer Science, Health Information Systems or other health related field.
  • State criminal background check and Federal (if applicable), as required for regulated areas.
  • Experience with medical terminology.
  • Experience with the oncology population.
  • Knowledge of and/or capability of standard computer systems including manipulating large information sets.
  • Excellent customer service skills.
  • Ability to communicate effectively.
  • Must be able to work as part of a collaborative team.
  • Ability to troubleshoot hardware and software problems, prioritizes tasks, and deal with frequent interruptions/ requests effectively.

Nice To Haves

  • Two (2) years of experience in data management or related field.

Responsibilities

  • Assists with the collection of data through various methods such as chart reviews of patients, aggregates data, and analyzing data.
  • Reviews, analyzes, and interprets information and data from multiple resources to identify new and established patient information for inclusion into identified database fields
  • Maintains current and valid data in relevant databases.
  • Assumes primary responsibility for concurrent data collection and entry on specified data points with 98% accuracy.
  • Meets data completion requirements to assist leadership with daily, weekly, and monthly quality management activities.
  • Accurately deletes or archives appropriate patient information from the database
  • Notifies Clinical Research Specialist/s, Manager, Medical Director, and/or Oncology Quality Coordinator of incomplete, missing data elements or data entry discrepancies identified in database.
  • Tracks and validates data accuracy and timeliness.
  • Accurately assigns codes for all collected information.by working collaboratively with the Clinical Research Specialists, Office Manager, and/or HIM Department to assure accuracy of coding.
  • Utilizes specified registry /protocol codes when necessary.
  • Completes code assignment with 98% accuracy.
  • Provides and disseminates data and statistical information for research, education and outreach as well as assists with studies and audits for other service activities as requested by the Clinical Research Specialist/s, physicians and managers/ directors.
  • Reviews requested data to determine scope and availability of information and any known potential duplication of studies/protocols/quality management projects.
  • Reviews requested data with Clinical Research Specialist/s, physicians, Directors, etc. to assure compliance with Internal Review Board (IRB) for Investigational Study requirements.
  • Generates customized reports from database to internal and external departments as appropriate
  • Assists in consent tracking, screening and regulatory document management
  • Organizes and assists in the completion of requests for information (RFI) forms as well as requests from pharmaceutical companies, monitoring agencies and insurance companies.
  • Assists with the organization and availability of data for audit by outside agencies
  • Facilitates the establishment and maintenance of record keeping and filing systems.
  • Uses and maintains computer hardware and software.
  • Competently utilizes computer hardware and software programs including but not limited to: Microsoft Windows, Microsoft Word, dBase, Excel, Access, and Harvard Graphics.
  • Troubleshoots hardware and software problems as appropriate.
  • Assures completion of appropriate activities needed for database maintenance
  • Monitors and maintains the various computer information systems primarily for the Blood and Marrow Transplant/ Hematologic Malignancy Program.
  • In collaboration with others assists with the compliance of all Oncology Accreditation Designation criteria.
  • Maintains knowledge of JCAHO, ACOS, FACT, and other state statutes as they relate to the WVUH Cancer Program
  • Provides statistical reporting on patients as required for specified registries.
  • Participates in required education annually.
  • Maintains and continually improves technical skills needed to enter data, troubleshoot general technical problems, and adequately utilize relevant data entry systems.
