Position Summary : As a Document Processing Clerk, you will be responsible for coordinating and tracking shipping progress, payments, and various transactions. This role requires meticulous attention to detail, excellent communication skills, and the ability to manage multiple tasks efficiently. You will work closely with internal and external stakeholders to ensure accurate and timely processing of all documentation and transactions.

Requirements

  • Associate degree or above is required.
  • Bilingual English and Chinese is required.
  • Detail-oriented, diligent, patient, and responsible personality.
  • Proficient in computer and Microsoft Office Suite.
  • Authorized to work in the United States without sponsorship.

Nice To Haves

  • 1 year of work experience in data entry and document processing is preferred.
  • Knowledge of international business is preferred.

Responsibilities

  • Create and manage domestic, import, and intercompany purchase orders, ensuring accurate documentation and timely processing.
  • Generate and oversee expense purchase orders, maintaining detailed records and ensuring proper authorization.
  • Prepare telegraphic transfer (T/T) requests accurately and promptly to facilitate smooth financial transactions.
  • Verify matching documents to ensure accuracy and completeness, addressing any discrepancies as needed.
  • Efficiently process check requests, ensuring all necessary approvals and documentation are in place.
  • Manage and execute transfer requests, coordinating with relevant departments to ensure seamless transactions.
  • Create and maintain all necessary import and export documentation, ensuring compliance with relevant regulations.
  • Communicate with stores, vendors, buyers, and distribution centers to ensure accurate product quantities, pricing, and timely delivery, resolving any arising issues.
  • Respond to incoming phone calls and emails professionally and promptly, collaborating with internal and external stakeholders to ensure timely payments and issue resolution.
  • Perform other duties as assigned by management.
