About The Position

Global- a 1st Flagship Company is a woman-owned small business and a leader in Marine Support Services and Emergency Management. They have been a trusted Prime Contractor for the Department of Navy since 1964, managing, operating, and maintaining the U.S. Navy Inactive Ship fleet. The company is currently seeking a Data Entry Specialist to join their team in Philadelphia, PA. This role involves working on military vessels such as destroyers and aircraft carriers. The Data Entry Specialist will provide clerical and administrative support, handle confidential documents, assist with HR processes, maintain employee records, and ensure compliance with company policies.

Requirements

  • Confidentiality is a must.
  • Ability to sight type.
  • Ability to type 45 words per minute with minimal errors.
  • Proficient with Excel.
  • High School Diploma or equivalent.
  • One (1) year related experience in a similar position or relevant education.
  • Must be able to compose/write descriptive reports and transcribe reports and correspondence.
  • Must establish and maintain positive working relationships with all employees and the customer.
  • Must maintain strict confidentiality of all sensitive and proprietary information and handle confidential data with discretion.
  • Must have a level of attention to detailed work.
  • Operate office equipment such as fax machines, copiers and phone systems.
  • Use computers for spreadsheets, word processing, database management and other applications (Microsoft Office) and internet search engines.

Nice To Haves

  • At least two (2) years' experience in secretarial work.
  • Thorough knowledge of styles of correspondence and office practices.
  • Operating knowledge of personal computers, computer terminals and word processing programs.

Responsibilities

  • Maintain and securely file personnel and other confidential documents.
  • Organize and update employee records in accordance with company policies and legal requirements.
  • Utilize Teams, Microsoft Word, Office, PowerPoint, and Excel to complete administrative tasks efficiently.
  • Prepare interview materials, employee identification documents, and other necessary paperwork.
  • Assist with onboarding new hires and processing promotions by preparing new hire packets, offer letters, promotion letters, and making copies of necessary identification documents.
  • Support the open enrollment process, ensuring all employees receive enrollment forms and benefit materials. Answer employee inquiries regarding benefits plans.
  • Ensure adherence to HR policies, company procedures, and legal regulations.
  • Respond to employee inquiries and relay information between employees and management.
  • File documents, manage calendars, coordinate meetings, and assist with general office operations.
  • Perform all other administrative tasks assigned within the scope of the position.
