About The Position

This is intermediate-level data entry and records processing work involving accurate entry, verification, update, and maintenance of information in electronic databases, spreadsheets, records management systems, and related office applications. An employee in this class performs a variety of moderately complex data entry assignments requiring speed, accuracy, attention to detail, and the ability to identify and correct routine errors or discrepancies. Work includes reviewing source documents for completeness, converting paper or electronic information into designated systems, maintaining data integrity and confidentiality, and supporting the preparation of standard records and reports. Work is performed under the general supervision of a designated supervisor and is reviewed for accuracy, completeness, timeliness, and compliance with established procedures.

Requirements

  • High School Diploma or equivalent from an accredited institution
  • One (1) year of data entry or clerical experience
  • Knowledge of general office practices, procedures, filing methods, and record keeping standards.
  • Knowledge of basic computer operations, keyboarding, electronic document handling, and standard office software.
  • Knowledge of data entry methods, including entering, verifying, saving, retrieving, and correcting alphabetic and numeric information.
  • Knowledge of confidentiality, privacy, and security requirements related to government records and sensitive information.
  • Skill in accurately entering data and identifying errors, omissions, inconsistencies, or unclear information in source documents.
  • Skill in organizing routine work assignments and maintaining orderly records.
  • Ability to use data entry equipment, computer terminals, keyboards, scanners, printers, electronic records systems, related office technology, and standard office equipment.
  • Ability to follow established data entry procedures, system instructions, and departmental guidelines and complete job-related training in data entry systems, electronic records, confidentiality, or records management.
  • Ability to understand and follow oral and written instructions, including operating procedures, manuals, checklists, and workflow directions.
  • Ability to compare source documents to electronic records, identify discrepancies, and maintain accuracy during repetitive tasks for extended periods.
  • Ability to type or enter data at a speed and accuracy level sufficient to meet departmental standards may be required.
  • Ability to communicate clearly and professionally with supervisors, coworkers, and other internal contacts.
  • Ability to maintain confidentiality and exercise care when handling sensitive information.
  • Ability to establish and maintain effective working relationships with all persons contacted in the course of work.

  • Possession of a valid driver’s license may be required for positions that involve travel between work sites or departments.

Responsibilities

  • Enters, verifies, updates, and maintains moderately complex alphabetic, numeric, coded, personnel, financial, payroll, revenue, receipt, accounting, or administrative information in electronic databases, spreadsheets, records management systems, and related platforms.
  • Reviews source documents and electronic records for completeness, accuracy, consistency, legibility, and compliance with established procedures before and after data entry.
  • Identifies and corrects routine data entry errors, omissions, duplications, or discrepancies, and refers unusual, conflicting, or complex issues to a supervisor or higher-level employee for review.
  • Organizes, indexes, saves, retrieves, and maintains electronic and paper records, files, logs, source documents, and tracking documents in accordance with established policies and records management requirements.
  • Compiles routine reports, lists, summaries, and records from entered or verified data to support payroll, revenue, accounting, personnel, administrative, or departmental reporting activities.
  • Assists in monitoring data quality by performing basic audits, reconciling records, and ensuring that information is accurate, complete, timely, and properly formatted.
  • Observes confidentiality, privacy, and data security requirements when handling sensitive government, personnel, financial, payroll, or administrative records.
  • Provides routine guidance or assistance to lower-level employees on data entry procedures, document handling, system use, and established workflow requirements as assigned.
  • Performs other related duties as assigned.
