Come see the difference genuine quality makes. This role involves both Data Entry and Office Administration responsibilities. The Data Entry aspect includes accurately entering data into quoting software, identifying and resolving data issues, ensuring quotes align with specifications, and eventually taking on estimating and quoting tasks. The Office Administration aspect includes daily duties such as maintaining showroom presence, managing correspondence, preparing files, coordinating meetings, assisting the sales team, processing mail, and ordering supplies. Monthly duties include assisting with invoicing and accounting, maintaining records, monitoring quotations, and supporting management with reporting.

Requirements

  • Strong attention to detail and accuracy in data entry.
  • Strong organizational and time-management skills.
  • Punctual and reliable.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Comfortable learning new software systems.
  • Strong communication and customer service skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Ability to work independently and collaboratively within a team environment, including in a fast-paced setting.

Nice To Haves

  • Previous experience in the window, door, glazing, or construction industry is considered an asset, but not required.
  • Knowledge and experience using AutoCAD to review and interpret construction drawings.
  • Ability to read take-off sheets, architectural plans, and shop drawings.

Responsibilities

  • Accurately enter data provided by sales staff into our quoting software.
  • Identify and resolve irregularities, ambiguities, and potential issues in the data.
  • Ensure quotes align with project specifications and performance requirements.
  • Take on estimating and quoting tasks with increasing independence as you learn our products and system.
  • Assist with project handoff and basic coordination items with operations and production teams upon award.
  • Maintain a consistent presence in the showroom, supporting visitors and assisting with customer walk-ins.
  • Answer and direct incoming phone calls and emails.
  • Manage office correspondence and customer inquiries.
  • Prepare and maintain project files, contracts, and documentation.
  • Coordinate meetings, appointments, and office schedules.
  • Assist the sales team with administrative support and document preparation.
  • Process incoming and outgoing mail, courier shipments, and deliveries.
  • Order and maintain office supplies and equipment.
  • Coordinate communication between internal departments and external stakeholders.
  • Assist with invoicing, purchase orders, and basic accounting administration.
  • Maintain and archive project records and documentation.
  • Monitor outstanding quotations and follow-up opportunities.
  • Support management with administrative reporting and special projects.
  • Ensure office procedures and filing systems remain organized and up to date.
