About The Position

The Data Coordinator plays a crucial role in ensuring the accuracy, completeness, and reliability of program data at Hope the Mission. This role is essential for demonstrating service delivery, participant assistance, and organizational accountability to funders and stakeholders. Working under the Data Manager, the Data Coordinator is responsible for maintaining data quality and ensuring contract compliance across all Hope the Mission programs. This involves reviewing client files, verifying HMIS records against contract requirements, training program staff on data procedures, and generating reports for leadership and funders. The position requires strong knowledge of HMIS, meticulous attention to detail, and the ability to translate data findings into practical guidance for program teams. Accurate data is vital for Hope the Mission to prove its impact, secure funding, and enhance its services.

Requirements

  • Experience with Homeless Management Information System (HMIS) and/or CHAMP strongly preferred.
  • Proficiency in Microsoft Office, including Word, Excel, Access, and PowerPoint.
  • Demonstrated ability to perform accurate and efficient electronic data entry.
  • Demonstrated ability to handle sensitive participant information with discretion and professionalism.
  • Strong analytical skills with the ability to interpret data, identify patterns, and translate findings into actionable recommendations.
  • Creative problem-solving ability with an organization-wide perspective.
  • Strong written and verbal communication skills, including the ability to present data findings clearly to varied audiences.
  • Customer service orientation in working with staff at all organizational levels and with external partners.
  • Highly collaborative with the ability to work effectively within a team environment.
  • Demonstrated knowledge of the challenges commonly faced by program participants, including issues related to housing instability, health, substance use, and mental health.
  • Working knowledge of and ability to apply confidentiality standards under CMIA, HIPAA, and ADA requirements.
  • Background Screening – Employment is contingent upon the successful completion of background checks as required per worksite.
  • Drug and Alcohol Testing – Candidates must pass pre-employment and ongoing drug and alcohol screenings in accordance with company policy.
  • Motor Vehicle Record (MVR) Check – For roles requiring driving, employment is contingent upon an acceptable driving record (meeting criteria of HTM’s commercial insurance), a CA drivers license, and proof of vehicle insurance coverage.
  • Legal Eligibility to Work – Maintain proof of legal authorization to work in the US.
  • Compliance with Company Policies and HIPAA standards – All employees must comply with company policies, including safety, confidentiality, and conduct standards.

Nice To Haves

  • Bachelor’s degree in psychology, social work, public administration, human services, statistics, or other closely related field preferred.
  • One year of experience in program evaluation, reporting, or data management preferred.
  • Experience with HMIS, CHAMP or relevant data base system.

Responsibilities

  • Conduct ongoing audits of electronic and physical client files to ensure accuracy, completeness, and alignment with contract requirements.
  • Reconcile physical file documentation with HMIS records across all program files.
  • Maintain an internal database tracker of audited files.
  • Identify missing or incomplete documents required by contract for each client file.
  • Develop and update monitoring checklists that reflect current contract requirements.
  • Support program audits, including data entry and file preparation.
  • Assist leadership in identifying and resolving data errors.
  • Administer client databases, including report generation, user management, and adherence to HMIS policies and procedures.
  • Design and generate regular reports for varied audiences, including staff, board members, donors, and funders.
  • Perform and analyze performance-based data as requested by supervisor.
  • Track outcomes and monitor progress against established program goals.
  • Analyze programmatic data to identify strengths, gaps, and trends.
  • Assist with annual updates to performance report technical requirements.
  • Develop and deliver training programs to build staff capacity in data collection, entry, and analysis.
  • Provide ongoing technical assistance to program staff to ensure compliance with data requirements.
  • Facilitate regular meetings with direct service and management staff to review monthly KPIs, audit findings, and data performance.
  • Develop and implement data collection systems and strategies that improve statistical efficiency and data quality.
  • Summarize audit findings and patterns for each program site and communicate results to relevant staff and leadership.
  • Perform other duties as assigned.
