About The Position

The Data and Administrative Assistant will be embedded within Bappenas to provide administrative, operational, and data management support for the effective implementation of KITA SEHAT-supported activities under Bappenas. The position will support the delivery of technical assistance by ensuring efficient programme coordination, information management, and administrative processes that facilitate collaboration between Bappenas, the KITA SEHAT Programme Management Team, government counterparts, and other relevant stakeholders. The role contributes to KITA SEHAT's objectives by strengthening programme management, supporting evidence-informed decision-making, and enabling the timely and effective implementation of priority activities under Bappenas. The role is responsible for coordinating administrative and operational processes, maintaining accurate programme records and databases, supporting data compilation and reporting, and preparing high-quality meeting documentation, including agendas, minutes, presentations, briefing notes, and other technical and administrative materials. The position will also facilitate the organisation of meetings, workshops, consultations, and other programme activities, while supporting knowledge management and communication to improve programme monitoring, coordination, and reporting.

Requirements

  • Minimum bachelor’s degree in administration, data management, business administration, statistics, information management, or a relevant field.
  • Demonstrated experience (at least 3 years) in providing administrative, logistical, and operational support for development programmes, government initiatives, or donor-funded projects.
  • Experience in data compilation, data management, and basic data analysis, with strong attention to accuracy, organisation, and quality assurance.
  • Experience supporting meetings, workshops, and stakeholder coordination, including scheduling, logistics, documentation, and follow-up actions.
  • Excellent organisational, communication, and interpersonal skills, with the ability to liaise effectively with government counterparts, development partners, and multidisciplinary teams.
  • Strong written communication skills, with demonstrated experience preparing meeting minutes, briefing notes, presentations, reports, and other administrative documentation.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint, with the ability to organise and present information clearly and professionally.
  • Sound understanding of Gender Equality, Disability, and Social Inclusion (GEDSI) principles and the ability to support inclusive programme implementation and stakeholder engagement.
  • Excellent oral and written communication skills in English and Bahasa Indonesia.
  • Minimum requirement of IELTS 7, or an equivalent test score.

Responsibilities

  • Support Advisory Panel with logistics, administration, data compilation and analysis, documentation and inputs.
  • Support in liaising between Bappenas, KITA SEHAT, DFAT and the Advisory Panel.
  • Support Bappenas with preparation of key documents and coordination with KITA SEHAT Program Management Team.
  • Develop minutes, briefings, presentations and other documentation to support health planning and program management.
  • Coordinate with KITA SEHAT PMT and provide monthly summary report of activities conducted.
  • Undertake any other duties as required.
