About The Position

San Juan County is seeking candidates for our Customer Service Specialist position with the Auditor's Office. This role serves as the public face of the Auditor’s office, handling customer interactions in recording and licensing functions. The specialist will process vehicle and vessel transactions, record legal documents, issue marriage and dog licenses, and rotate regularly between recording and licensing duties.

Requirements

  • High School diploma, or equivalent
  • Two years of general office work experience with emphasis on math and accounting skills
  • Two years of customer service experience
  • Equivalent combination of education, training, and experience that demonstrates the ability to perform the essential functions of the job

  • Ability to interact with the public, county officials, and other county employees in a courteous and professional manner
  • Proficiency in computer programs used in the Auditor’s office, including Office suite
  • Proficiency in DOL Vehicle and Vessel Licensing software

  • Ability to understand and comply with applicable eCFR, RCW, WAC, DOL Vehicle Licensing Office Policy and Procedures, and County policy and procedure
  • Ability to comply with the San Juan County Cash Handling Policy
  • Ability to understand and comply with applicable RCW, WAC, and County policy and procedure for recording

Responsibilities

  • Process vehicle and vessel licensing transactions, including applications, licenses, permits, and titles.
  • Implement federal and state regulations (eCFR, RCW, WAC) and DOL policy for licensing.
  • Interact with DOL support personnel regarding equipment, systems, and customer transactions.
  • Issue dog licenses using a computerized program and respond to related inquiries.
  • Process, issue, and maintain marriage licenses and associated records, preparing monthly transmittals to the State Department of Health.
  • Provide licensing information to the public via telephone, correspondence, or in person, managing stressful customer situations.
  • Handle cash, check, and card payments for licensing and recording fees, balancing cash drawers and preparing deposits.
  • Maintain inventory for vehicle and vessel licensing.
  • Train other employees in licensing duties and DOL software.
  • Record and index legal documents in San Juan County, including real estate transactions, liens, and surveys.
  • Identify and forward real estate excise tax transactions to the Treasurer’s office.
  • Log, scan, import, store, and archive legal documents.
  • Export recorded documents and images to customers and the Department of Natural Resources.
  • Fulfill requests for copies of recorded documents.
  • Interact with title companies, escrow companies, attorneys, financial institutions, and other county departments.
  • Assist with preparing invoices for recording services and document copies.
  • Train other employees in recording duties and document recording software.
  • Accept lawsuits and claims against the County, processing them as Claims Agent.
  • Notarize documents for the County and the public.
  • Pick up and distribute mail for the Auditor’s office, take outgoing mail to the post office, and make daily bank deposits.
  • Act with courtesy, professionalism, and adherence to ethics standards.
  • Perform other related duties as assigned.
