About The Position

Common Interest Management Services (CIMS), an Associa company, is seeking a full-time Customer Service Representative to join their team in Brentwood, CA. CIMS is a growing HOA management company in Northern California with a commitment to improving communities and delivering outstanding service. This is an in-office position, Monday-Friday, 8:00 AM-4:30 PM. The role involves providing customer service to multiple homeowners' associations.

Requirements

• 2+ years of customer service experience
• Excellent verbal and written communication
• High school Diploma or Equivalent
• Able to navigate Microsoft Office 365, Teams, CRM Software & SharePoint
• A professional phone presence and the ability to address complex interpersonal dynamics and respond to client needs
• Strong organization and multitasking abilities
• Operates with a high level of autonomy while maintaining a collaborative team-oriented approach.
• Be able to provide proof of a valid driver’s license and appropriate vehicle insurance

Nice To Haves

• Bilingual is a plus+
• Experience with an HOA management company, property management, real estate or escrow services +

Responsibilities

• Answer and resolve inbound calls and email correspondence with professionalism and a customer-first approach.
• Coordinate and monitor work orders for community maintenance and repairs, ensuring accurate tracking and proactive follow up.
• Track and manage architectural applications submitted by homeowners.
• Manage building key/gate remote distributions.
• Prepare reports, bid documentation and other material.
• Compose and type routine correspondence to residents, service providers and other parties.
• Type, distribute, and track monthly violation letters.
• Respond to inquiries and requests from residents, realtors, mortgage lenders, title companies and owners regarding resale information, insurance matters and miscellaneous requests other than financial matters.
