About The Position

TalentFish is seeking a highly organized and customer-focused Customer Service Representative / Project Coordinator to serve as the central point of communication between customers, sales, artwork, and manufacturing partners. This role is responsible for ensuring projects move smoothly from kickoff through completion while providing exceptional customer support and maintaining critical deadlines. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment where managing multiple projects and stakeholders is essential. The successful candidate will be the "hub of the wheel," ensuring customers receive timely communication, artwork approvals are completed efficiently, co-op documentation is properly managed, and projects progress smoothly from kickoff to completion.

Requirements

  • Previous experience in customer service, project coordination, account support, or administrative/clerical roles.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Detail-oriented with strong follow-through.
  • Comfortable interacting with customers, internal departments, and external partners.
  • Proficiency with Microsoft Office and standard business software applications.
  • Authorization to work in the U.S. without current or future visa sponsorship.

Nice To Haves

  • Experience working with artwork approvals, proofing processes, or promotional products.
  • Familiarity with cooperative advertising (co-op) programs and documentation.
  • Experience supporting sales teams and customer success initiatives.

Responsibilities

  • Serve as the primary point of contact for customers throughout the project lifecycle.
  • Conduct customer kickoff calls to gather project requirements, expectations, and timelines.
  • Communicate customer requirements clearly to internal teams, including Sales and Art Departments.
  • Coordinate with the Art team to ensure proofs are completed accurately and on schedule.
  • Distribute proofs to customers and track approvals.
  • Monitor project timelines and ensure all deliverables are received and completed on time.
  • Act as the communication hub between customers, sales representatives, artwork teams, and manufacturing partners.
  • Manage cooperative advertising (co-op) submissions and documentation.
  • Coordinate with manufacturers to secure co-op funding and reimbursement opportunities.
  • Ensure all co-op documentation is completed accurately and submitted within required deadlines.
  • Follow up with customers and internal teams to resolve issues and keep projects moving forward.
  • Maintain accurate project records and customer communications.
