About The Position

The Customer Project Coordinator serves as the primary liaison between customers and internal departments to ensure projects are successfully executed from order receipt through final delivery. This role is responsible for coordinating customer orders, tracking production progress, communicating project status, and collaborating with cross-functional teams to meet customer expectations and delivery commitments. The ideal candidate is organized, detail-oriented, customer-focused, and thrives in a fast-paced manufacturing environment.

Requirements

  • Associate degree preferred; equivalent work experience considered.
  • Experience in manufacturing, production planning, customer service, project coordination, or account coordination preferred.
  • Experience working with ERP systems and customer portals is a plus.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong attention to detail and follow-through.
  • Problem-solving mindset with the ability to adapt in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Ability to work effectively with customers and cross-functional teams.

Responsibilities

  • Serve as the primary point of contact for assigned customer accounts.
  • Build and maintain positive customer relationships through timely and professional communication.
  • Provide customers with order status updates, delivery commitments, and project progress reports.
  • Respond to customer inquiries and resolve order-related issues.
  • Manage customer expectations while ensuring alignment with operational capabilities.
  • Coordinate customer orders throughout the production process.
  • Schedule jobs and communicate priorities to support on-time delivery.
  • Track parts and projects through multiple stages of production.
  • Monitor progress and identify potential delays or obstacles.
  • Work closely with production teams to ensure schedules and customer requirements are met.
  • Support the successful completion and delivery of customer orders.
  • Coordinate with Engineering to align project requirements and timelines.
  • Collaborate with Production to establish priorities and maintain workflow efficiency.
  • Partner with Quality to ensure products meet specifications and to coordinate rework activities when necessary.
  • Work with Accounting regarding invoicing and order processing requirements.
  • Communicate between facilities to maintain visibility of work-in-process.
  • Collaborate with Sales to address customer concerns and resolve order discrepancies.
  • Coordinate with Shipping to ensure products are delivered according to customer schedules.
  • Maintain and update information within company ERP and production systems.
  • Create job numbers for rework and production activities.
  • Assign serial numbers and maintain product traceability records.
  • Print and distribute production travelers and supporting documentation.
  • Release jobs into production and monitor system accuracy.
  • Develop a strong working knowledge of company systems and processes.
  • Navigate and maintain customer-specific systems and portals.
  • Process order acknowledgments and customer-required documentation.
  • Update delivery schedules and project milestones.
  • Assign serial numbers and maintain customer records.
  • Ensure customer portals accurately reflect order status and commitments.
  • Prepare inventory records and documentation for inventory audits.
  • Assist with tracking and controlling inventory movement during audit activities.
  • Support customer audits by preparing documentation and answering production-related questions.
  • Maintain accurate traceability and documentation records.
  • Coordinate and prioritize rework activities across departments and facilities.
  • Partner with Quality and Production to return reworked parts to production efficiently.
  • Monitor rework progress to minimize impact on delivery schedules.
