About The Position

The Department of Economic Security (DES) is seeking an experienced and highly motivated individual to join their team as a Customer Service Representative 2 with the Rehabilitation Services Administration (RSA). This role is crucial for strengthening individuals, families, and communities by bridging and minimizing gaps to employment and independence. The position involves greeting visitors, answering phones, providing information about RSA programs, and maintaining the front desk and associated rooms. Additional duties include managing office supplies, state vehicles, travel claims, meeting minutes, assisting with hiring processes, entering client data, scanning documents, and supporting counselors with client follow-ups. Travel for training, meetings, and state business is required, necessitating a valid driver's license and acceptable driving record for those operating vehicles on state business.

Requirements

  • Knowledge of program rules, policies, customer service principles, and related procedures.
  • Knowledge of the English language, including grammar, spelling, and effective communication.
  • Knowledge of administrative procedures, including office systems, file management, and computer software such as Microsoft Office Suite, internet applications, and email.
  • Skills in active listening and effectively communicating with others.
  • Skills in gathering information, maintaining case files, and completing complex reports.
  • Skills in critical thinking and problem-solving.
  • Ability to operate standard office equipment efficiently.
  • Ability to communicate effectively and demonstrate strong reading comprehension.
  • Successfully pass background and reference checks.
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
  • Possess and retain a current, valid class-appropriate driver's license (if driving is an essential function).
  • Complete all required driver training and successfully pass all necessary driver's license record checks (if driving is an essential function).

Responsibilities

  • Greeting visitors, providing customer service, and maintaining the front desk, interview rooms, and resource room.
  • Answering phone calls and referring callers to the appropriate staff.
  • Providing information about RSA programs.
  • Assisting with walk-ins and client appointments and notifying staff of their arrival.
  • Preparing outgoing correspondence.
  • Assisting with distributing and compiling office reports.
  • Updating huddle board metrics.
  • Processing incoming and outgoing mail.
  • Entering client information into the case management system.
  • Scanning documents into the case management system.
  • Assisting counselors with following up with clients.
  • Ordering office supplies.
  • Maintaining state vehicles.
  • Processing travel claims.
  • Completing meeting minutes.
  • Assisting the program supervisor with hiring.
