Responsibilities

  • Manage incoming calls and direct inquiries to the appropriate team members
  • Log and document customer interactions accurately within the system
  • Respond to emails related to purchase orders, inventory, and general inquiries
  • Support the Customer Service Lead with daily operations
  • Create and issue purchase orders (POs)
  • Manage vendor communication including updating lead times and following up on order status
  • Coordinate with technicians to collect receipts and required documentation
  • Maintain and update PO reporting, ensuring accuracy and timeliness
  • Provide weekly “Awaiting Parts” reports to the team
  • Manage material planning and order necessary parts
  • Collaborate with the Inventory Coordinator on parts received and shipping logistics
  • Oversee inventory-related tasks including creating new items and tracking technician inventory
  • Ensure proper handling and tracking of refrigerant inventory
  • Support Accounts Payable with invoice and PO reconciliation
  • Assist Accounts Receivable with reporting for work ready to be billed
  • Work cross-functionally to strengthen vendor and customer relationships
  • Assist in onboarding and training new team members
