About The Position

This role is responsible for working directly with clients and customers to plan meeting details, room setup, food and beverage. The position requires a thorough understanding of catering menu items, conference booking systems, work order reporting systems, and audio-visual processes. The Concierge/Receptionist will handle on-floor conference room activities, monitor meeting schedules, and advise management on any changes or special requests. A key aspect of the role involves troubleshooting a wide variety of requests and situations, including audio-visual issues for guests and staff. The position also serves as an overall Hospitality Services resource, providing wayfinding, information on amenities, transportation, and community retail. Communication with internal support departments such as catering, audio visual technology, and the mailroom is essential. Adherence to FLIK Hospitality's signature look, including uniform, jewelry, and slip-resistant shoes, is required. The role involves creating accurate catering signage with attention to detail, including food allergy icons, grammar, and verbiage. Interaction with customers should ensure satisfaction, and the ability to multitask and think quickly in a fast-paced, client-facing environment is crucial. Excellent attention to detail, a positive and enthusiastic attitude, and exceptional time management skills are necessary. The individual must understand FLIK/client emergency procedures and be prepared to act accordingly. Maintaining a neat work area and representing the company courteously and efficiently are also key responsibilities. Daily tasks include checking conference rooms for accuracy, monitoring shared in-boxes, checking in with meeting organizers, and supervising the houseperson team to ensure rooms are maintained to standard. Weekly duties involve scrubbing the calendar for upcoming events, verifying details, ensuring room size appropriateness, setup accuracy, and AV needs. Reporting to the client in weekly meetings about upcoming meetings and maintenance issues is also part of the role. Other duties as assigned.

Responsibilities

  • Demonstrates a complete understanding of catering menu items and explains same to customers accurately.
  • Demonstrates a complete understanding of conference booking systems, work order reporting systems, audio visual and processes and explains same to customers accurately.
  • Handling on-floor conference room activities, both visually and by means of the reservations system, being aware of meeting start / end times, attendees in the room, food and beverage orders, etc. Advising the appropriate manager and/or staff members on changes in meeting room status, special requests, etc.
  • Troubleshooting a wide variety of requests and situations to include audio visual, both for guests and for members of the unit.
  • Acting as an overall Hospitality Services resource to guests, visitors, and employees in providing wayfinding and amenities within building, and transportation, community retail, neighborhood amenities, and organizational information.
  • Communicating requests to the appropriate internal support departments such as catering director, Audio Visual technology (meeting room technical support), and mail room (package pickups and deliveries) to include any other departments as necessary.
  • Adhering to FLIK Hospitality Concierge/Guest Service Agent signature look to include approved uniform, approved jewelry and slip resistant shoes.
  • Creates catering signage with accuracy and attention to detail with food allergy icons, grammar and verbiage per unit/client guidelines and expectations.
  • Interacts with customers in a manner to ensure customer satisfaction.

  • Having a thorough understanding of the FLIK/client emergency procedures and being prepared to carry out designated tasks in the event of a fire or other emergency.
  • Maintaining the attractive, neat appearance of the work area, and surroundings.
  • Gaining an understanding of the company culture, key areas of activity and creating “transparency” by serving as an extension of the FLIK and the unit.
  • Represents company in a courteous, efficient, and friendly manner is all customer and employee interactions.
  • Checking the conference rooms and set-up report for accuracy.
  • Monitor Arlington and Seattle shared in-boxes.
  • Check in with meeting organizers while walking floors.
  • Supervise houseperson team to ensure conference rooms are neat and in a standard set-up, dry erase boards are clean with markers and erasers in each room, HUB furniture is reset according to floor plans.
  • Scrub calendar for any larger events happening and check for accuracy of details.
  • Room size is appropriate for group size, set-up makes sense and fits in that space, AV as needed, etc.
  • Report to the client in the weekly meetings review of upcoming meetings, maintenance issues and anything else pertaining to the team.
  • Performs other duties as assigned.
  • Ensures corporate and OSHA safety standards are followed.
  • Follows principles of sanitation and safety in handling food and equipment.
  • Cleans up spills in the servery, dining area, his/her own work area immediately.
  • Completes shift work, as assigned, in a timely and thorough manner in accordance with department standards.
  • Informs manager, director, supervisor, in a timely manner when supplies are low.
  • Follows and observes all company policies and procedures.
  • Follows company standards for attendance and punctuality.
  • Maintains professional appearance at all times, clean and well groomed in accordance with company standards and approved uniform, approved jewelry and slip resistant shoes.
  • Develops a positive working relationship with fellow workers and customers and avoids conflict.
  • Attends C.H.A.T. and all other training sessions.
  • Attends Safety meetings.
  • Assist other functions as needed and asked by manager, director, supervisor.
