About The Position

This role serves as a key point of contact for students and faculty, ensuring classes and campus activities are set up for success. The assistant will act as a liaison and provide hospitality to visitors, including students and staff from other locations, business partners, and prospective students. They will also ensure campus amenities are fully supported and available to the community. Additionally, the role involves troubleshooting technical issues, assisting with classroom technology, room setup/breakdown, and supporting student orientations and campus events. Administrative duties include assisting faculty and student services staff with printing and organizing materials, maintaining campus areas, providing administrative support for regulatory submissions and campus operations, and undertaking special projects. The campus hours are 8:00 am to 10:00 pm, and this position is for the afternoon/evening shift, with occasional weekend shifts required for special events.

Requirements

  • Minimum of two years of office coordination experience
  • Outstanding customer service and interpersonal skills
  • Proficiency in Microsoft Office Suite and G Suite
  • Detail oriented with a focus on quality and accuracy
  • Able to learn quickly in a technical environment
  • Operate video conferencing equipment, printers, copiers, and computers
  • Flexibility, a positive attitude, and commitment to excellence are vital
  • Applicant must be legally entitled to work in Canada for the duration of the appointment or employment without employer sponsorship.

Nice To Haves

  • Experience in higher education is a plus
  • Enjoy working with diverse populations
  • Comfortable working independently
  • Experience with Canva or other design software is preferred

Responsibilities

  • Acting as the first point of contact for students and faculty ensuring that classes and campus activities are set up for success
  • Acting as a liaison and providing hospitality to incoming visitors which could include students and staff from other locations, business partners, and prospective students
  • Ensuring that campus amenities are fully supported and available to the community
  • Troubleshooting technical issues and assisting with classroom technology
  • Assisting with room setup, breakdown, and reconfiguration
  • Assisting with student orientations and campus events
  • Ensuring facility related issues are reported and followed up on in a timely fashion
  • Assisting faculty and student services staff with printing handouts and organizing promotional materials
  • Maintaining the campus areas in a clean and stocked manner
  • Administration support to regulatory submission and review processes
  • Administrative support relevant to campus operations, safety protocols, and University policies and procedures
  • Special projects as assigned
