About The Position

The Customer Service Assistant provides administrative and operational support to the customer service and sales teams within a food manufacturing environment. This role assists with order entry, customer communications, and data management while providing backup support to Customer Service Representatives (CSRs) during peak periods or absences. The position ensures efficient handling of customer requests and accurate documentation to support high levels of customer satisfaction.

Requirements

  • High school diploma or equivalent required
  • 0–2 years of experience in administrative, customer service, or order entry roles
  • Familiarity with Microsoft Office (Excel, Outlook) and basic ERP systems
  • Strong organizational and multitasking skills
  • Effective written and verbal communication skills
  • Ability to work in a fast-paced, team-oriented environment

  • Associate degree preferred

Responsibilities

  • Assist with entering and updating customer orders in ERP systems (e.g., SAP, NetSuite)
  • Verify order details including pricing, quantities, and delivery dates
  • Maintain and update customer records, pricing files, and product data
  • Respond to basic customer inquiries via phone and email, and route complex issues appropriately
  • Provide backup support for CSRs during high-volume periods or staff absences
  • Coordinate with production, warehouse, and logistics teams to track order status
  • Prepare routine reports, order summaries, and administrative documentation
  • Support invoicing, credits, and returns processing
  • Assist with filing, recordkeeping, and compliance documentation
  • Ensure adherence to company procedures and food industry regulations
