About The Position

Provides administrative, customer service and inventory control support for the Surplus Department using our surplus system, email, phone calls, spreadsheets, PowerPoint presentations and social media. Uses all functions of the Surplus Property System (SPS) to monitor Disposal Requests (DR) as they are entered into the system. Contacts and guides customers/departments in setting up new departments and access in the system and recommends suggestions for better entry methods to help with trackability. Use the SPS system on a daily basis to complete actions which includes DR review and approval, receiving, creation of manifests, creating inventory labels, creating sales/transfer receipts, and running daily, weekly and monthly reports to track key performance indicators (KPIs), financials and operational metrics for management review. Works with SPS and customers to coordinate the drivers daily pickup routes and schedule surplus-related appointments (e.g., pickups and transfers), communicating any changes or issues as needed. Assists the Inventory Control Specialist with cycle counts, monthly inventory processes, and asset audits, ensuring accuracy and data integrity. Answers questions from phone calls, emails, walk-in customers, and online platforms (e.g., GovDeals and social media) on a daily basis. Supports online surplus sales processes, including preparing, reviewing, and maintaining auction listings and related documentation, including vehicle and special project listings as needed. Works under minimal supervision and makes decisions according to established policies and procedures; determines and is responsible for ensuring that appropriate action/communication is taken to meet the highest customer service standards. Works with different forms of public media to inform and educate departments and the public regarding different sales and/or events. Helps in other areas in the surplus department as needed (team oriented).

Requirements

  • High school diploma or general education development (GED) equivalent.

Nice To Haves

  • Zero to two (0-2) years of relevant experience in an administrative role performing inventory control processes in a multi-faceted, team-oriented operation.
  • Strong written and verbal communication skills.
  • Strong organizational abilities.
  • A high level of customer service.
  • Experience using computer software for receiving, sales, inventory control, and data tracking/reporting.
  • Experience working in a transportation/logistics environment that coordinates schedules for multiple trucks with daily routes.
  • Knowledge of general warehouse and inventory operations/practices.
  • Strong problem-solving skills.
  • Experience using Microsoft Excel and Word.
