About The Position

The Customer Service Administrative Assistant provides direct support to the Customer Service team within a window and door manufacturing environment. This role is responsible for handling administrative tasks, order entry support, and documentation to ensure Customer Service Representatives can focus on customer communication and issue resolution. This position plays a critical role in maintaining workflow efficiency, accuracy, and timely processing of orders.

Requirements

  • High school diploma or equivalent required
  • 1–2 years of administrative or office support experience preferred
  • Strong attention to detail
  • Excellent organizational and multitasking skills
  • Ability to work in a fast-paced environment
  • Proficient in Microsoft Office (Excel, Word, Outlook)

Nice To Haves

  • Manufacturing or construction experience is a plus
  • ERP/order entry system experience preferred

Responsibilities

  • Assist Customer Service Representatives with daily administrative tasks
  • Prepare, organize, and maintain customer files, order documentation, and records
  • Enter and update customer information and order details in the system
  • Review paperwork for accuracy and completeness before processing
  • Input customer orders, quotes, and revisions into the system with high accuracy
  • Verify product specifications, measurements, and configurations
  • Ensure all required documentation is complete prior to releasing orders to production
  • Track and update order status
  • Maintain organized records of orders, revisions, and communications
  • Assist in generating reports for order status and backlog
  • Scan, file, and manage documents
  • Communicate with production, scheduling, and shipping teams
  • Follow up on missing information or changes
  • Support smooth handoff between Customer Service and Operations
  • Perform clerical duties such as filing, copying, and data entry
  • Assist with internal communications
  • Support administrative needs across departments
